Microsoft Dynamics 365 Business Central has been updated to version 21.3
The base Microsoft Dynamics 365 Business Central platform that powers Sparkrock 365, has been updated from 21.0 to 21.3.

New permission sets are available for the compensation journal as well as the Reporting and Analytics and Provincial Benefits Data Exchange extensions
The following sections describe the enhancements to permission sets in this release.
Granular permission sets for the Provincial Benefits Data Exchange extension
This release introduces granular permission sets for the Provincial Benefits Data Exchange extension.

View reporting and analytics permission set for department managers
This release adds the SPKRA R&A, VIEW permission set as a subset of the SRF FINANCE DEPT MGR permission set. The SPKRA R&A, VIEW permission set provides the capability for department managers to view reporting and analytics reports.
View account sets permission set for the compensation journal
This release adds the SRP ACC. SETS, VIEW permission set as a subset of the SRW COMP, VIEW permission set. The SRP ACC. SETS, VIEW permission set provides the capability for compensation journal users to view account sets.
Administrators can more easily find mySparkrock configuration issues
To help you find the mySparkrock setup that does not pass validation, this release introduces a mySparkrock Setup Validation page.

To view more details or correct the setup of a record that failed validation, on the mySparkrock Setup Validation page, select the record, and then on the action bar, choose Open Related Record.

Depending on the issue, manual troubleshooting of mySparkrock setup issues may still be required. For example, if there is a typo in a mySparkrock user's Authentication Email field, but the email address is in a valid format, the record does not appear on the mySparkrock Setup Validation page and the user will not be able to log in.

Invalid mySparkrock email address can no longer be specified
To reduce the number of invalid email addresses that are set up for mySparkrock users, this release adds several validations on the mySparkrock User Card page, to the Authentication Email field. When a value is specified in Authentication Email, the data is now validated to ensure that all the following criteria is met:
The value includes an @ symbol.
The value includes a period.
The value does not include any spaces.

Companies that are assigned to mySparkrock users can be more easily identified
To help you identify the companies to which a user is assigned and the company setup status, this release introduces on the mySparkrock Users page, a Companies FactBox.
To view the setup status for a company, select the respective link in the Setup Status column. The corresponding mySparkrock User Setup Card page opens.
Set the mySparkrock URL for all companies from a centralized location
Before this release, for scenarios where there were multiple companies that required a mySparkrock URL to be set up, you would have to go to the mySparkrock Solution Setup page for each company and specify the mySparkrock URL. Starting with this release, to save time, you can now specify the mySparkrock URL from a central location on the Companies page, in the new mySparkrock URL field.

The mySparkrock URL field on the Companies page is automatically populated with the value that appears on the mySparkrock Solution Setup page, in the mySparkrock URL field. When you specify or update a value in the mySparkrock URL field on the Companies page, the mySparkrock URL field on the mySparkrock Solution Setup page is automatically updated.
This release also adds validations to the mySparkrock URL fields on the mySparkrock Solution Setup and Companies pages.
Assign or remove users notification on the Companies page
To help inform users where they can go to assign or remove mySparkrock users, this release adds on the Companies page, a new notification.
In the notification, you can select the mySparkrock Users link to open the mySparkrock Users page.
Mass remove company access from mySparkrock users
On the mySparkrock Users page, this release introduces the Remove Company Access action.
This action provides the capability to mass remove company access from mySparkrock users.

Store attachments in Azure Blob storage
Starting with this release, to increase your Sparkrock 365 default storage and benefit from Azure Blob storage features, you can set up Sparkrock 365 to use Azure Blob storage for all attachments.

When a user uploads, downloads, or deletes attachments, there is no difference in the user experience based on whether Sparkrock is set up to store attachments in Sparkrock 365 default storage or Azure Blob storage.
To support this feature, this release introduces the following functionality in Sparkrock 365:
Azure Blob Storage Setup page
On the Azure Blob Storage Setup page, you can turn on or turn off Azure Blob storage. Also, you can transfer existing attachments from Sparkrock 365 default storage to Azure Blob storage. Alternatively, you can transfer attachments from Azure Blob storage to Sparkrock 365 default storage.
SRP Download Files from ABS and SRP Upload Files To ABS jobs
When a user chooses to transfer attachments from Sparkrock 365 default storage to Azure Blob storage, the SRP Upload Files To ABS job uploads files in the background so that the user can continue to work. Similarly, when a user chooses to transfer attachments from Azure Blob storage to Sparkrock 365 default storage, the SRP Download Files from ABS job downloads files in the background so that the user can continue to work.

Manage companies in Azure Blob storage
To increase your Sparkrock 365 data storage space and benefit from Azure Blob storage features, this release introduces the capability to create a company or create a copy of a company in Azure Blob storage. Also, when you no longer require a company, you can delete the company from Azure Blob storage.

When a user creates, copies, or deletes a company, there is no difference in the user experience based on whether Sparkrock 365 is set up to store companies in Azure Blob storage or the default Sparkrock 365 database.

Mass update mySparkrock user authentication email, user references, and user settings
To save you time, this release introduces the capability to perform a mass update of the Authentication Email field on the mySparkrock User Card page.
Also, you can perform a mass update of user references, and user settings across Sparkrock 365, for example, the value for User Id on the User Setup and User Settings pages.
To support this feature, this release introduces the Import NAV User Mapping from Excel page that is available when you perform a Tell Me search.
On the Import NAV User Mapping from Excel page, you define the Excel workbook file name and worksheet name that you want to use when performing the mass update.
The data from the Excel file is loaded into the NAV User Mapping page.
On the NAV User Mapping page, to perform the mass update, on the action bar, choose Update Users.

User Settings page enhancements
To provide the capability for you to edit user settings data more easily as well as make copying user settings data from Excel into Sparkrock 365 simpler, this release changes the design of the User Settings page to a list view.
Instead of having to edit one record at a time, you can now choose Edit List from the action bar, and then edit multiple records on the same page.
Also, you can now copy records from Excel and paste them directly onto the page.

Approval enhancements for finance requests and purchase documents
To address several customer pain points, this release introduces enhancements to the Sparkrock 365 approval functionality for finance requests and purchase documents.
Manually select approvers
This release introduces the capability for a requester who is sending a finance document for approval to choose who is to approve the document. For information about how to set up manual selection of an approver, see Set Up Manual Selection of an Approver.
To support this feature, this release introduces the following changes to Sparkrock 365:
Approval Group page changes:
There is a new Default Approver field.
The Default Approver field specifies the default approver for the sequence. Only one approver can have the Default Approver checkbox selected per sequence. When there are multiple approvers with the same value for Sequence and no approvers have Default Approver selected, Sparkrock 365 treats all approvers as default approvers.
The all must approve functionality has been updated to work as described in the following list:
When the All Must Approve checkbox is selected, Sparkrock 365 treats all approvers as default approvers because all approvers must approve. The All Must Approve field takes precedence over the Default Approver field.
When All Must Approve is clear, there can only be 1 default approver.
The Notification Only field validation logic has been updated to prevent a default approver from having Notification Only selected.
On the following pages the Approval Rules action has been renamed to Approvers:

The Approvers action opens the Finance Request Approvers page.
Note
Before you can view the one or more approvers for purchase requisitions, payment requests, and expense claims, you must verify the respective document. For more information, see Verify a Purchase Requisition, Verify a Payment Request, and Verify an Expense Claim.
Finance Approval Setup page changes:
There is a new Enable Approver Selection field.
The Enable Approver Selection field provides the capability for a requester who is sending a finance document for approval to choose who is to approve the document provided that all the following setup is in place:
The Enable Approver Selection field is turned on.
Multiple approvers are set up on the approval group.
All Must Approve is not selected for the respective sequence on the approval group.
When Enable Approver Selection is turned off, Sparkrock 365 finance approvals work the same as in previous releases. Requestors can view the list of approvers on the Finance Request Approvers page, but cannot edit the Enabled field. Sparkrock 365 determines who is to approve the document based on the approval setup.
Finance Request Approvers page changes:
There is a new Default Approver field.
The Default Approver field is automatically populated based on the setup of the Approval Group page. Sparkrock 365 uses the Default Approver field to determine the default approver of a document.
There is a new Enabled field.
The Enabled field determines who is to approve a finance document that a requester has sent for approval.
For more information, see Send an Expense Claim for Approval, Send a Payment Request for Approval, Send a Purchase Credit Memo for Approval, Send a Purchase Invoice for Approval, Send a Purchase Order for Approval, and Send a Purchase Requisition for Approval.

Backstop approval group
To reduce errors during approval processing, this release introduces on the Finance Approval Setup page, a Backstop Approval Group field.
During approval processing of a document, when Sparkrock 365 does not find an applicable approval rule, an approver who is assigned to the backstop approval group becomes responsible for approving the document. A backstop approval group is also used when Sparkrock 365 finds an eligible approval group, but does not find an eligible approver, for example, Allow Self-Approval is Never and the only approver is the one who is sending the document for approval.
Approvers only have to approve once
To save time, starting with this release, if an approver is assigned to multiple sequences or different rules, the approver only has to approve once. For more information, see Sequence and finance approval rules.
Approval level per document type
To increase flexibility, starting with this release, you can now assign an approval level per document type. For example, for purchase requisitions, you may want only the last level to approve, but on purchase orders and expense claims you may want all levels to approve.
To support this feature, this release moves the Approval Level field to the Document Types FastTab.

To improve the visibility of approvers, this release introduces an Approvers FactBox on the following pages:

The Approvers FactBox replaces the Approval Rules Factbox that exists on the Purchase Requisitions, Purchase Requisition, Payment Requests, Payment Request, Expense Claims, and Expense Claim pages in previous releases.
Select number series during purchase order creation
To help differentiate types of purchase orders, for example, blanket purchase orders and regular purchase orders, Sparkrock now provides the capability for users to select a number series during purchase order creation.

This feature is disabled by default.
To use this feature, you must perform some setup. For more information about how to set up this feature, see Set Up Purchase Order No. Series Selection.
After you perform the set up, when there is at least one line on a purchase requisition, and Line Action is set to Create Purchase Order, and then you choose on the action bar, Home > Create Purchase Order, the No. Series page opens where you can select the number series that you want to use.
To support this feature, this release introduces the following changes in Sparkrock 365:

On the Purchase & Payables Setup page, on the Finance Requests FastTab, there is a new PO No. Series Selection field.

Make Account Set field mandatory on finance requests
Starting with this release, on finance requests, such as purchase requisitions, payment requests, expense claims, and so on, you can specify that the Account Set field is mandatory.
To support this feature, this release adds on the Purchases & Payables Setup page, on the Finance Requests FastTab, an Account Set Mandatory field.
The Account Set Mandatory field is turned off by default. When the Account Set Mandatory field is turned on, the Account Set field is mandatory on finance requests. Otherwise, when the Account Set Mandatory field is turned off, the Account Set field is optional.
Filter by GL Account Category Filter when exporting a G/L Budget to Excel
When exporting G/L budget data to Excel, this release introduces the capability for you to filter the data by G/L Account Category Filter.

Sparkrock 365 does not support all filters that appear on the Export Budget to Excel page due to the design of the process that exports data to Excel.
Grounds for Termination field caption has been replaced with ROE Reason Code when the user's language is set to English (Canada)
Starting with this release, when the Language field is set to English (Canada) on the My Settings page, Sparkrock displays the caption ROE Reason Code on the Employee Card page, instead of displaying the caption Grounds for Term. Code.
Settings are retained when loading compensation journal lines
This release introduces changes to the compensation journal load lines functionality. On the Compensation Journal Load page, when you change the value for Use default values from, the information on the Settings FastTab is now retained.
The information is retained even when you create or change a compensation journal batch or pay cycle period.
New compensation journal warning for Non-Applicable payroll status
To help with compensation journal troubleshooting, on the Compensation Journal page, the Errors & Warnings FactBox now includes information when the Payroll Status field has a value of Non-Applicable.
Sparkrock 365 sets the value of Payroll Status to Non-Applicable when a line is added or updated and all the following conditions exist:
The value for Hours/Days is not equal to zero.
The Amount is zero.

Certificate number can be included for employee qualifications
Starting with this release, you can specify certificate number information for an employee qualification in the new Certificate No. field.
The new Certificate No. field appears on the Employee Qualifications page.
When a value is specified in the Certificate No. field, the respective qualification information in mySparkrock is updated automatically.
The Certificate No. field length is 30 characters. Alpha-numeric characters can be specified, as well as spaces and special characters, such as dashes.
The new field appears by default. To hide the field, you can use the personalization feature. For more information, see Personalize Your Workspace.
Payroll has been updated to version 21.29.0.0
To stay current with the latest payroll updates and fixes, payroll has been updated to 21.29.0.0. To view a detailed list of the updates that are available, see Payroll releases.
Payroll event codes 009 and 010 have been added for more payroll flexibility
Starting with this release, when creating payroll process procedures, you can use the following new event codes:
009 : FTE is based on the active employee assignment where all the following criteria is met:
- Calculation start date is less than or equal to the pay cycle end date.
- Calculation end date is blank or is less than or equal to the pay cycle start date.
- Work period code is active.
010 : Hours/Wk is based on the active employee assignment where all the following criteria is met:
- Calculation start date is less than or equal to the pay cycle end date.
- Calculation end date is blank or is less than or equal to the pay cycle start date.
- Work period code is active.

Employees can view W2 tax forms in mySparkrock
Starting with this release, you can view W2 tax forms from mySparkrock. To make the W2 forms available from mySparkrock, when you run the W2 Report in Sparkrock 365 as part of your typical W2 creation process, ensure that Save to Employee Files is turned on.

Performance enhancements in shift creation, shift validation, schedule card load times, and schedule template card load times
For customers who have large volumes of shifts and employees, this release includes significant performance enhancements to the Scheduling extension. The enhancements are in the following areas:
Mass validation of schedules
Loading schedule template cards
Filtering data on schedule cards
Generating schedules from schedule templates
For example:
The mass validate process for 200 shifts has been reduced from approximately 4 minutes to 4 seconds.
The time to load the schedule template cards for 3500 shifts has been reduced from approximately 6 minutes to 2 seconds.
On the Schedule Card page for environments that have 3500 shifts, after setting the filter to Vacant, Pending, or Errors / Warnings, the time it takes to show all records has been reduced from approximately 60 seconds to less than a second.
The process of creating 200 shifts has been reduced from approximately 8 minutes to 10 seconds. Similarly, the time it takes to process the creation of 3500 shifts has been reduced from 1 hour to 6 minutes.

Time entry unit activities enhancements for in lieu codes
Starting with this release, on the Time Entry Unit Position Activities page, in the In Lieu Code field, you are prevented from specifying a code where on the respective Cause of Absence Card page, the Type field is set to Category. The In Lieu Code field now only accepts codes where on the respective Cause of Absence Card page, the Type field is set to Entry.
Approve as Administrator enhancements
To provide approval administrators with more approval options, on the Time Sheet Entry page, this releases changes the Approve as Administrator action that existed in previous releases to an action group that includes the following new actions:
Entire Unit : Approve as an administrator all lines that have a Status of Pending Approval in the time sheet.
Selected Employee : Approve as an administrator all lines that have a Status of Pending Approval for the selected employee in the time sheet.
Selected Line : Approve as an administrator the selected lines that have a Status of Pending Approval in the time sheet.

The Approve as Administrator action group appears dynamically when all the following conditions exist:
- On the Approval User Setup page, the Approval Administrator checkbox is selected for the respective user.
- The line on which you are positioned has a Status of Pending Approval.

Employee No. column to appear by default on the Time Sheet Entry page
To provide the capability for you to filter the data on the Time Sheet Entry page more easily, on the Time Sheet Entry page, the Employee No. column now appears by default.

Pending approvals
Before updating to this release from Sparkrock 2016, it is recommended that you update the approval status of any documents that are in a pending approval or in progress state to an approved or open state.

The following sections include information about the known problems in update 21.3 for Sparkrock 365 2022 release wave 2.
Connectivity issue with APIs and other services or integrations
After updating to this release, you may experience connectivity issues with APIs and other services or integrations.
The following list includes examples of how connectivity issues may become apparent:
API errors
Power BI dashboards may no longer work correctly
Integrations may have trouble communicating with Sparkrock 365
Workaround
To resolve this problem, you must uninstall, and then install the respective extension. To uninstall, and then install the extension, perform the following steps:
In Sparkrock 365, choose , enter extension management, and then choose the related link.
The Extension Management page opens.
In Search, enter api.
A list of the API extensions are displayed, for example, PS Finance APIs.
You may have to change your view so that you can view the version number for any extension. To view the version number for all extensions, choose , and then choose List.
For each extension that does not have a version that starts with v.21.3 and Is Installed is selected, perform the following steps to uninstall, and then install the extension:
- Select the extension that you want to update, and then on the action bar, choose Manage > Uninstall.
The Extension Uninstallation page opens. - Choose Uninstall.
A dialog box appears and displays text that indicates the extension was successfully uninstalled. - To close the dialog box, choose OK.
- Select the extension that you want to update, and then on the action bar, choose Manage > Install.
The Extension Installation page opens. - Choose Next.
The page refreshes and you are requested to review extension information before installation. - To proceed, turn on I accept the terms and conditions.
- Choose Install.
The extension is updated to the latest version.
- Select the extension that you want to update, and then on the action bar, choose Manage > Uninstall.
Alternate workaround
It is possible that custom web services may have been deleted during or after the update.
To resolve this problem, you must copy and paste the web services lines from a sandbox environment into your production environment.
To copy and paste one or more web services lines, perform the following steps:
Open a Sparkrock 365 sandbox environment that was created before the update or create a sandbox environment from a backup.
Choose , enter web services, and then choose the related link.
The Web Services page opens.
Copy the information for the one or more lines that you want to copy.
In your Sparkrock 365 production environment, choose , enter web services, and then choose the related link.
The Web Services page opens.
Paste the information for the one or more lines that you copied.
Re-open button is missing for a submitted expense claim in mySparkrock
The Re-open button may disappear from a submitted expense claim in mySparkrock. This issue occurs when a mySparkrock user is not set up in Sparkrock 365, on the User Setup page.
Workaround
Perform the following steps:
Choose , enter user setup, and then choose the related link.
The User Setup page opens.
On the action bar, choose New.
A new row appears.
In User ID, specify MYSPARKROCK.
Assign all permissions to the user.
For example, select the checkboxes for the following fields:
- A/P Batch Admin
- Allow A/P Batch Creation
- Allow A/P Batch Auditing
- Allow A/P Batch Deletion
- Allow User to Access Compensation Data
- HR Request Reversal Allowed
Cannot open links in sent emails
When you open a sent email from the Sent Emails Last 30 Days page, and then select the link that appears in the body of the email, Sparkrock 365 becomes unresponsive.
Workaround
Open links in the body of sent emails from Gmail or Outlook, instead of from Sparkrock 365.
Payroll Employee or Payroll Processing pages may fail to open
When using the platform security filters on permission sets, the Payroll Employee page, Payroll Processing page, or both pages may fail to open with a something went wrong error message. This is a limitation of the payroll processing module.
Workaround
Remove the permission sets with security filters from the user who must access these pages.
