Send a purchase credit memo for approval

If an approval workflow is set up for purchase credit memos and you are the requestor or a designated alternate, you can send a purchase credit memo for approval.

To send a purchase credit memo for approval

1. Choose , enter purchase credit memos, and then choose the related link.

   The Purchase Credit Memos page opens.

2. Select the purchase credit memo that you want to send for approval.

3. Depending on your environment setup for approver selection and whether you want to choose the approver of this purchase credit memo, perform one of the following steps:

   • If approver selection is turned on in your environment, and you want to choose the approver of this purchase credit memo, perform the following steps:
     1. On the action bar, choose Requisition > Approvers.
        The Finance Request Approvers page opens.
     2. Select the Enabled checkbox on the line of the approver who you want to approve this purchase credit memo.
     3. To return to the Purchase Credit Memos page, choose .
   • If approver selection is turned on in your environment, and you do not want to choose the approver of this purchase credit memo, proceed to the next step.
   • If approver selection is turned off, proceed to the next step.

4. On the action bar, choose Request Approval > Send Approval Request.

   Sparkrock 365 verifies the purchase credit memo and if enabled, runs budget checking.

   If there are any errors, the Error Messages page opens and displays the list of errors.

   If budget checking is enabled, Sparkrock 365 checks the purchase credit memo against the budget and notifies you if the budget amount is exceeded. To return to the purchase credit memo, choose No. To continue processing the purchase credit memo approval, choose Yes.

   A status message appears indicating that the purchase credit memo has been sent for approval, and the Status changes to Pending Approval.
