Set up email scenarios
Sparkrock 365 includes email scenarios that you can assign to email accounts to have Sparkrock 365 send email notifications to users automatically based on specific situations.
A scenario can only be assigned to one email account at a time. The default email account is used for all scenarios that aren't assigned to an account.
Absence Request email scenario
The Absence Request email scenario sends out email notifications for the following situations:
- Email to one or more approvers about an absence request that requires their review and approval.
- Reminder email for absence requests when the approver has not approved or denied the original request.
- Email to the submitter of the absence request for approval indicating that the absence request has been approved or denied.
Sparkrock 365 selects the From email account for absence request email notifications based on the email account to which the Absence Request email scenario is assigned. If the Absence Request email scenario is not assigned to an email account, Sparkrock 365 automatically assigns the scenario to the default email account.
HR Request email scenario
The HR Request email scenario sends out email notifications for the following situations:
- Email to one or more approvers about an HR request that requires their review and approval.
- Email to the submitter of the HR request for approval indicating that the HR request has been approved or denied.
- Email to the creator of the HR Request when the HR request has been fully processed.
- Email to the submitter of the HR request for approval that the HR request has been reopened or cancelled.
Sparkrock 365 selects the From email account for HR request email notifications based on the email account to which the HR Request email scenario is assigned. If the HR Request email scenario is not assigned to an email account, Sparkrock 365 automatically assigns the scenario to the default email account.
Time Entry Submission
The Time Entry Submission email scenario sends out email notifications for the following situations:
- Email to one or more approvers about a time entry submission that requires their review and approval.
- Reminder email for time entry submission when the approver has not approved or denied the original request.
- Email to the submitter of the time entry submission indicating that the request has been approved or denied.
Sparkrock 365 selects the From email account on time entry submission email notifications based on the email account to which the Time Entry Submission email scenario is assigned. If the Time Entry Submission email scenario is not assigned to an email account, Sparkrock 365 automatically assigns the scenario to the default email account.
To set up email scenarios
Choose
, enter email accounts, and then choose the related link.
The Email Accounts page opens.
Select the email account to which you want to assign email scenarios, and then on the action bar, choose Navigate > Email Scenarios.
The Email Scenario Assignment page opens.
On the action bar, choose Assign scenarios.
The Assign scenarios to account page opens for the email account that you specified.
Select the email scenario that you want to add, and then choose OK.
