Create a grievance
The Grievance Card page is used to record any grievances and their associated details, including the relationship to the one or more collective agreement articles and sub-sections that are cited as being a subject of the grievance.
To create a grievance record
Choose , enter grievances, and then choose the related link.
The Grievances page opens.
On the action bar, choose New.
The Grievance Card page opens.
On the General FastTab, perform the following steps:
- In No., specify the number that is to represent this grievance.
The value can be set up to automatically populate based on the set up of the Grievance Nos. field on the Advanced HR Setup page. For more information, see Set Up Collective Agreements. - In Union Code, specify the union code that is to be associated with this grievance.
- In Type, specify a value.
- If Type is set to Individual, in Employee/Griever No., specify the employee number of the employee who is submitting the grievance.
When you specify a value for Employee/Griever No., the following fields are populated automatically:
- Employee/Griever Name: Specifies the employee’s name.
- Address: Specifies the employee's address.
- Address 2: Specifies additional address information for the employee.
- City: Specifies the employee's city.
- State or Province: Specifies the employee's state or province.
- Postal Code: Specifies the employee's postal code.
- Seniority Date: Specifies the griever's seniority date.
- In HR Emp. Assignment Entry No., specify the number that represents the employee's assignment at the time of the grievance.
When you specify a value for HR Emp. Assignment Entry No., the following fields are populated automatically:
- Griever Position Code: Specifies the code that represents the griever's position.
- Griever Position Name: Specifies the name of the griever's position.
- In Issued To Code, specify the code that represents the employee to which the grievance was issued.
When you specify a value for Issued To Code, the Issued To Name field is automatically populated with the name of the employee to which the grievance was issued. - In HR Department, specify the code that represents the department dimension value to which the griever belongs.
- In Created Date, specify the grievance creation date.
- If the grievance has been sent to arbitration, in Date Referred to Arbitration, specify the date on which the grievance was sent to arbitration.
- In Supervisor No., specify the number that represents the supervisor of the employee who submitted the grievance.
When you specify a value for Supervisor No., the Supervisor Name field is automatically populated with the name of the supervisor of the employee who submitted the grievance. - In Union Steward No., specify the union steward number for the union to which the employee who submitted the grievance belongs.
- In Internal Resolution Method, specify the method by which the grievance is being resolved internally.
- In External Resolution Method, specify the method by which the grievance is being resolved externally.
- In Union Grievance No., specify the grievance number that the union representative provides.
- In Agreement Violation, specify details about the agreement violation.
- In Agreement Violation 2, specify additional details about the agreement violation.
- In Redress Sought, specify details about the redress that is sought.
- In Redress Sought 2, specify additional details about the redress that is sought.
- In No., specify the number that is to represent this grievance.
On the Grievance Process Log FastTab, to record the steps that are to be taken until the final resolution is reached or the grievance is sent to arbitration, perform the following for each step:
- In Step, select the applicable step.
The steps in the grievance resolution process are pre-defined based on the requirements that are supplied by your organization. Typically, grievances commence in the Step 1 stage as defined in most collective agreements.
The value that is specified here is automatically populated in the Status field on the General FastTab for the most recent step that is selected on the Grievance Process Log FastTab. - In Received Date, specify the date on which the grievance was received.
The date that is specified here is automatically populated in the Read Date Last Filing field on the General FastTab.
The date that is specified here for the first step on the Grievance Process Log FastTab is automatically populated in the Original Filing Date field on the General FastTab. - In Planned Response Date, specify the date by which HR must respond to the grievance submission.
To avoid an additional grievance filling, it is important to understand the terms and conditions of the collective agreement to ensure that this date is within the allowable range following the filing of this grievance.
The date that is specified here is automatically populated in the Next Response Due Date field on the General FastTab for the most resent step that is selected on the Grievance Process Log FastTab. - If there has been a response, in Actual Response Date, specify the date of the response.
This field may be specified or updated at a later date. - In Planned Meeting Date, specify the date on which a meeting with HR, management, the union representative, and the griever has been scheduled.
The date that is specified here is automatically populated in the Next Meeting Due Date field on the General FastTab for the most recent step that is selected on the Grievance Process Log FastTab. - If the meeting occurred on a date that is different than what was set in Planned Meeting Date, in Actual Meeting Date, specify the actual date the meeting occurred.
- When all the activities in the step have been completed, in Date Step Completed, specify the completed date.
When Step is equal to Settlement Reached, the date that is specified in Date Step Completed is automatically populated in the Settlement Date field on the General FastTab.
- In Step, select the applicable step.
