Create a collective agreement
On the Collective Agreement Card page, you can store and maintain collective agreement details. This page is where you add the details for the one or more active collective agreements within your organization. As well, on this card, you must provide the union information.
From this card, you assign the associated individuals that make up the union and management team that are involved in negotiating and finalizing the agreement.
When a grievance is filed, the Collective Agreement Card page enables you to retrieve the required information and details for the union and the collective agreement to which the individual filing the grievance belongs. Grievances can be linked to the information that is stored as articles on the Collective Agreement Card page, including section number, and sub-section number.
To create a collective agreement
Choose , enter collective agreements, and then choose the related link.
The Collective Agreements page opens.
On the action bar, choose New.
The Collective Agreement Card page opens.
On the General FastTab, perform the following steps:
- In No., specify a number to represent the collective agreement.
It is recommended that you specify the union acronym and a numeric date range that applies to the overall term of the agreement. - In Union Code, specify the code that represents the union that is associated with this collective agreement.
- In Description, specify the details for the collective agreement.
- In Description 2, specify additional details about the collective agreement.
- In Negotiation Start Date, specify the start date of the negotiation process for the collective agreement.
- In Negotiation End Date, specify the end date of the negotiation process for the collective agreement.
This date may also be referred to as the settlement date.
When a date is specified for Negotiation End Date, the No. of Negotiation Days field is automatically populated and specifies the number of days it took to reach the ratification. The No. of Negotiation Days field is automatically calculated based on the Negotiation Start Date and Negotiation End Date fields. - In Ratification Date, specify the date on which the terms of the collective agreement were ratified by the bargaining unit through the ratification process.
- In Expiry date, specify the date on which the collective agreement expires.
- To specify that a strike occurred, turn onStrike.
- In Strike Start Date, specify the date on which the strike began.
- In Strike End Date, specify the date on which the strike ended.
When a date is specified for Strike End Date, the No. of Strike Days field is automatically populated and specifies the number of days that the strike lasted. The No. of Strike Days field is automatically calculated based on the Strike Start Date and Strike End Date fields.
- In No., specify a number to represent the collective agreement.
On the Team FastTab, to specify the names of all internal and external individuals that were active union members and outside resources who liaised together during the negotiations process to reach an agreement, perform the following steps:
- In National Representative, specify the name of the union national representative.
- In Union President, specify the name of the union president.
- In Union VP, specify the name of the union vice president.
- In Union Treasurer, specify the name of the union treasurer.
- In Senior Director of Service, specify the name of the senior director of service.
Not every organization has this role in the negotiation process. - In Executive Director, specify the name of the executive director.
- In Front Line Supervisor, specify the name of the front line supervisor.
- In HR Manager, specify the name of the HR manager.
- In HR Assistant, specify the name of the HR assistant.
- In CFO, specify the name of the chief financial officer.
- In External Legal Council, specify the name of the external legal council representative.
On the Collective Agreement Details FastTab, to define all the collective agreement articles that apply to the collective agreement, perform the following steps for each article:
- In Article No., specify the corresponding article number.
- In Section No., specify the corresponding section number.
- In Sub-section No., specify the corresponding sub-section number.
- In Description, specify the corresponding heading or section title for the article.
For example, Terms and Conditions, Definitions, Hours of Work, Compensation, and so on.
