Accounts payable batch processing for accounts payable auditors
The following list describes the accounts payable batch processing steps that are required for an accounts payable auditor:
Audit the batch to ensure that the purchase documents that are included are complete and correct.
Post the approved batch.
Depending on your organizational processes, the accounts payable representative or the accounts payable auditor may perform this step.
Audit a batch
After a batch is released, the accounts payable auditor's task is to review all the purchase invoices or credit memos that are included within the batch for completeness and to ensure that the details are correct. After the audit of the batch is complete, the auditor can indicate that the batch has been audited.
If any of the purchase invoices or credit memos in the batch require modifications, the batch can be sent back to the accounts payable representative so that corrections can be made. After the accounts payable representative has made the corrections, they can release the batch again.
To review the purchase invoices in a batch
Choose , enter a/p batches, and then choose the related link.
The A/P Batches page opens.
On the action bar, choose Filters > Released.
A list of released batches displays.
Select a batch, and then on the action bar, choose Edit.
The A/P Batch Card page opens for the selected batch.
On the action bar, choose Related > View > Released Invoices.
The A/P Batch Purchase Invoices page opens.
Select an invoice that you want to review.
To review the purchase credit memos in a batch
Choose , enter a/p batches, and then choose the related link.
The A/P Batches page opens.
On the action bar, choose Filters > Released.
A list of released batches displays.
Select a batch, and then on the action bar, choose Edit.
The A/P Batch Card page opens for the selected batch.
On the action bar, choose Related > View > Released Credit Memos.
The A/P Batch Credit Memos page opens.
Select a credit memo that you want to review.
Place an accounts payable batch on hold
If required, you can place an accounts payable batch on hold. For more information, see Place an accounts payable batch on hold.
Move a purchase document from an accounts payable batch to another open batch
If required, you can move an accounts payable batch to another open batch. For more information, see Move a purchase document from an accounts payable batch to another open batch.
Mark as audited or reopen batch
When you finish reviewing the purchase invoices or credit memos in a batch, you have the following options:
Mark As Audited: Specifies that the batch is ready for processing.
Reopen Batch: Specifies that invoices in the batch require additional information or modification.
To mark a batch as audited
Choose , enter a/p batches, and then choose the related link.
The A/P Batches page opens.
Select the batch that you want to mark as audited, and then on the action bar, choose Home > Release Batch.
The Status of the batch changes to Audited.
To mark a batch as audited, all purchase invoices or credit memos in the batch must have a Status of Released.
To reopen a batch
Choose , enter a/p batches, and then choose the related link.
The A/P Batches page opens.
Select the batch that you want to reopen, and then on the action bar, choose Home > Reopen Batch.
A dialog box appears that displays a confirmation message.
Choose Yes.
The Status of the batch changes from Released to the Open.
Post the batch
The final step in accounts payable batch processing is to post the batch. The accounts payable representative or the accounts payable auditor can perform this step.
To post the batch
Choose , enter a/p batches, and then choose the related link.
The A/P Batches page opens.
Select the batch that you want to post, and then on the action bar, choose Post Batch (Invoices) or Post Batch (Cr. Memos).
