Role-based absences and absence registration
To support role-based absences and Employment Data and Analysis System (EDAS) reporting, the absence registration functionality in Sparkrock 365 provides the capability for you to track and manage absences based on specific assignments.
To track and manage absences, on the Absence Registration page, Sparkrock 365 includes an HR Emp. Assignment Entry No. field.
The HR Emp. Assignment Entry No. field appears when on the Advanced HR Setup page, Role-Based Absences is turned on.
The HR Emp. Assignment Entry No. field specifies the assignment for which the employee is registering an absence.
When role-based absences is enabled, if you want to add or edit a line on the Absence Registration page, you must specify a value in the HR Emp. Assignment Entry No. field. The eligible values for Cause of Absence Code are based on the value of the HR Emp. Assignment Entry No. field.
Transfer of employee attendance balances to a new assignment during HR request processing
During processing of HR requests that include the HR Function Code of 62, Sparkrock 365 transfers employee attendance balances to the new assignment. The transfer process includes creating absence registration records for the new assignment that have the Source Type of Accrued, Used, Carryover, and Adjustment.
Sparkrock 365 behavior for the Source Type of Used
In situations where the employee's position and attendance plan are the same and absence registration records have the Source Type of Used, Sparkrock 365 displays two absence registration records. The first absence registration record displays the old assignment number in the HR Emp. Assignment Entry No.. The intention of the first absence registration record is to indicate the hours that were used for the old assignment. The second absence registration record is a duplicate of the first record except that the new assignment number appears in HR Emp. Assignment Entry No.. The intention of the second absence registration record is to prevent the employee from recording the same absences twice.
