Perform time sheet entry
Sparkrock 365 provides the capability to perform time sheet entry.
To perform time sheet entry
Choose , enter time sheet entry, and then choose the related link.
The Time Sheet Entry page opens.
Select the week for data entry.
Sparkrock 365 displays by default the current week based on the Work Date that is configured in My Settings.
You can choose a week directly from Selected Week. To navigate between adjacent weeks, on the action bar, choose Home > Previous Week or Next Week.
Select the time entry unit for data entry. Only units for which you are eligible to perform data entry are available.
A Display Mode selector appears when all the following conditions exist for the selected unit:
On the Time Entry Unit Card page, the Data Entry Mode is Employee.
On the Time Entry Unit Card page, Allow Manager Data Entry is turned on.
The current user has an assignment that matches the time entry unit position criteria.
Display Mode allows a manager to choose whether to see their own time entry lines, those of their direct reports, or both combined. Choose the appropriate mode.
Time sheet lines
Time sheet lines are automatically generated for all employees that meet the filter criteria of the time entry unit position.
Employees can only enter time through the assignment Calculation End Date. For example, if the employee assignment ends on Wednesday, the employee cannot enter time on Thursday or Friday of that week.
To alternate between a Work Week and a Full Week, on the action bar, choose Home > Work Week or Full Week.
Each time entry unit position must have at least one time entry activity. If you want daily hours to be defaulted from the Hours per Day from the employee assignment, one activity can be set as the Default value.
The HR Pay Code on the Time Sheet Entry page defaults from the employee assignment, or the time entry unit position activity. The HR Pay Code from the time sheet line are sent to the compensation journal along with hours worked.
To add a comment for an entire week, specify the comment in the Comment column for that row in Time Lines. To add a comment to a specific day's entry, choose the corresponding cell. If the cell has a non-zero value, a control appears which you can choose to open a dialog for the cell. In this dialog you can specify a comment that is specific to this day. When an individual day has an associated comment, the data value for that day displays in bold.
To quickly review multiple comments for the selected row, on the Time Lines action bar, choose Manage > Detail.
Advanced options
To clear the existing row data, choose on the action bar, choose Processing > Clear Data Entries, and then specify the set of rows to be cleared.
If the unit has one or more Dimensions set up for editing, you can choose the corresponding column and cell to specify a new dimension value.
Submitting for approval
When data entry is complete, on the action bar, choose Request Approval > Entire Unit, Selected Employee, or Selected Line as desired. The time sheet is sent for approval. If the employee that is performing data entry is also set up as an approver for the unit, approval happens automatically.
When time sheet entry lines are sent for approval, Sparkrock 365 uses the HR assignment that is on the line as the source for approval group filter matching, for example, Match on Location, Match on HR Category, and Match on HR Department.
