Set Up mySparkrock User Profile Dimensions and Security Filters
To control which data mySparkrock users can view or update, you can set up security filters. Some security filters are based on dimension values. For more information about dimensions, see Working with Dimensions.
When specifying values for filter fields, the following format expressions are supported:
To specify a range of values, enter two periods (..), for example, to indicate that you want all values from 10000 to 50000 to be available, specify 10000..50000.
To specify that you only want one value or another, enter a pipe (|) symbol, for example, to indicate that you only want the values of 10000 and 50000 to be available, specify 10000|50000.
To specify that you want all values that are greater than a specific value, enter a greater than (>) symbol, for example, to indicate that you want all values that are greater than 10000, specify > 10000.
To specify that you want all values that are less than a specific value, enter a less than (<) symbol, for example, to indicate that you want all values that are less than 50000, specify < 50000.
To set up mySparkrock user profile dimensions and security
Choose , enter mysparkrock user profiles, and then choose the related link.
The mySparkrock User Profiles page opens.
Select the mySparkrock user profile that you want to set up, and then on the action bar, choose Manage > Edit
The mySparkrock User Profile Card page opens.
On the Dimensions FastTab, specify the default dimensions for this user profile.
The values that are specified here become the defaults on the users to which this profile is attached. When the values that are specified here are updated or the profile that is assigned to a user is changed to this profile, these values replace the existing user defaults.
On the Security Filters FastTab, perform the following steps:
- In the dimension fields, specify the filter restrictions for the dimensions that you want to apply to this user profile.
- In Item Category Filter, specify the allowable items that you want users with this profile to be able to use.
- In Vendor No. Filter, specify the allowable vendors that you want users with this profile to be able to use.
Although, the Vendor No. Filter and the Vendor Posting Group Filter are supported on the same profile, typically, only one of these fields is specified on a profile. - In Vendor Posting Group, specify the allowable vendor posting groups that you want users with this profile to be able to use.
- In G/L Account Filter, specify the allowable general ledger accounts that you want users with this profile to be able to use.
The list of general ledger accounts that are available are visible when a user is changing the default general ledger account on a request line. - In Expense Type Filter, specify the allowable expense types that you want users with this profile to be able to use.
Although, the Expense Type Filter and the Expense Type Category Filter are supported on the same profile, typically, only one of these fields is specified on a profile. - In Expense Type Category Filter, specify the expense type categories that you want users with this profile to be able to use.
Expense type categories improve productivity because they reduce the number of expense types that users see. - To specify that users with this profile can only view purchase requisitions and payment requests, including the list from which to copy documents, turn on View Own Requests Only.
For a limited access scenario, when View Own Requests Only is turned on, users can only see the requisitions and payment requests that they created. The filter is applied to Department Manager role center cues as well as limited access requisition pages. - To specify that users with this profile can use the close purchase order functionality, turn on Allow Usage of Close Purchase Order.
- To specify that the budget checking accordion is to be displayed in mySparkrock for users with this profile, turn on Show Budget Checking mySparkrock.
- To specify that budget checking on limited access finance requests are to be displayed for users with this profile, turn on Show Budget Checking.
