Purchase Requisition Templates
Purchase requisitions that are used regularly can be saved as templates. Templates can save time and reduce errors as they already include the relevant information.
The following types of templates can be created:
Private: Can be viewed and used only by the user who created the template.
Public: Can be viewed and used by all users.
The Purchase Requisition Templates option is only available to individuals who have the Finance Department Manager role. After a finance department manager creates a public template, any user with any role who has the appropriate permissions to create purchase requisitions, can choose the Copy Document action on the Purchase Requisition page, and then use the template.
To view an existing purchase requisition template
On the Finance Department Manager role center menu, choose Documents > Purchase Requisition Templates.
The Purchase Requisition Templates page opens.
To view a template, in the No. field of the template that you want to view, select the link that appears for the value.
To create a purchase requisition template
On the Finance Department Manager role center menu, under Activities, in the Start group, choose Requisition Template.
The Purchase Requisition Template page opens.
In Template Type, specify Public or Private.
Specify values as required.
To verify that the template is ready for use, on the action bar, choose Verify.
To create a purchase requisition from a template as a finance department manager
On the Finance Department Manager role center menu, choose Documents > Purchase Requisition Templates.
The Purchase Requisition Templates page opens.
For the template that you want to use, in the No. field, select the link that appears for the value.
The Purchase Requisition Template page opens.
On the action bar, choose Create Requisition.
The Create Requisition from Template page opens.
To include the default values from the expense type or item with the copy of the document, turn on Recalculate Lines.
When Recalculate Lines is turned off, the values from the template are copied to the new requisition.
To include internal and external comments from the template, turn on Copy Comments.
Choose OK.
The new purchase requisition is created from the template.
To create a purchase requisition with the Copy Document action
Choose , enter purchase requisitions, and then choose the related link.
The Purchase Requisitions page opens.
On the action bar, choose New.
The Purchase Requisition page opens.
On the action bar, choose Home > Copy Document.
The Copy Finance Request Document page opens.
In Document Type, specify whether you want to use a Private Template or a Public Template.
In Document No., specify the number of the template that you want to use.
To specify that you want to use the header information from the template for this purchase requisition, turn on Include Header.
To specify that you want to use the values from the template for this purchase requisition, turn on Recalculate Lines.
To specify that you want to copy the comments from the template to this purchase requisition, turn on Copy Comments.
Choose OK.
The purchase requisition is created.
