Mass Create HR Requests
Sparkrock 365 provides the capability for you to mass create HR requests. To perform this task, you can use the HR Request Worksheet page. After you mass create HR requests, you can use the Sparkrock 365 mass process HR request functionality to process the HR requests.
Create HR request worksheet lines
On the HR Request Worksheet page, you can create multiple HR request worksheet lines. Each line represents an HR request.

When you create HR request worksheet lines, Sparkrock 365 does not immediately create the respective HR requests. This design provides the capability for you to update the details of the HR requests before their creation. Sparkrock 365 creates the respective HR requests after you choose to process the HR request worksheet lines.
To create HR request worksheet lines
Choose , enter hr request worksheet, and then choose the related link.
The HR Request Worksheet page opens.
On the action bar, choose Load Lines.
The Load HR Request Worksheet page opens.
In HR Reason Code, specify the code that represents the HR reason for which you want to create HR requests.
In Effective Date, specify the effective date that Sparkrock 365 is to use when creating the HR request worksheet line.
Specify values for other fields as required.
The values that you must specify differ depending on the HR reason code that you specified.
To create the worksheet lines, choose OK.
A dialog box that displays the following text appears:
Based on the filters entered for HR Employee Assignment, approximately <number> new HR Request Worksheet Lines will be created. Do you want to proceed?
To proceed, choose Yes.
Edit HR request worksheet lines
After HR requests have been created in the HR request worksheet, you can edit the details for each HR request as required.
To edit HR request worksheet lines
Choose , enter hr request worksheet, and then choose the related link.
The HR Request Worksheet page opens.
Edit the details for each HR request as required.
Process HR request worksheet lines
After you have finished editing the details for one or more HR requests, you can choose whether to process selected lines or all lines. When you process a line in the worksheet, Sparkrock 365 creates, and then process the HR request.
To process selected lines
Choose , enter hr request worksheet, and then choose the related link.
The HR Request Worksheet page opens.
Select the one or more lines that you want to process.
On the action bar, choose Process Selected Lines.
A dialog box appears that displays the following text:
Do you want to create HR Requests from the Standard Worksheet Lines
To proceed, choose Yes.
Sparkrock 365 creates an HR request for the selected line, and then removes the line from the HR request worksheet.
To process all lines
Choose , enter hr request worksheet, and then choose the related link.
The HR Request Worksheet page opens.
On the action bar, choose Process All Lines.
A dialog box appears that displays the following text:
Do you want to create HR Requests from the Standard Worksheet Lines
To proceed, choose Yes.
Sparkrock 365 creates an HR request for each line, and then removes the respective lines from the HR request worksheet.
Delete HR request worksheet lines
When one or more HR request worksheet lines are no longer required, you can delete the one or more lines.
To delete an HR request worksheet line
Choose , enter hr request worksheet, and then choose the related link.
The HR Request Worksheet page opens.
Select the line that you want to delete.
On the action bar, choose Manage > Delete.
A dialog box appears that displays the following text:
Go ahead and delete?
To proceed, choose Yes.
Transfer HR request worksheet lines
For HR requests where the HR Reason Code is 25-TRANSFER, Sparkrock 365 creates worksheet lines based on the criteria that you specify on the Load HR Request Worksheet page.
When you specify an HR reason code that has the HR Reason Code of 25-TRANSFER, there is a Transfer section.
The following list includes information about the fields in the Transfer section:
- Transfer HR Position Code: Specifies the code that represents the HR position that Sparkrock 365 is to transfer the employee to when creating worksheet lines for the transfer HR request.
- Calculation Start Date: Specifies the start date that Sparkrock 365 is to use when creating worksheet lines for the transfer HR request.
- Calculation End Date: Specifies the end date that Sparkrock 365 is to use when creating worksheet lines for the transfer HR request.
On the HR Request Worksheet page, the values for HR Position Code and HR Position Name are based on the HR position to which the employee is transferring.
The values for the following columns are defaulted from the HR position to which the employee is transferring:
- From HR Position Code
- From HR Position Name
- Location Code
- HR Department
- HR Category
- Union Code
- Assignment Type
- Assignment Title
- Pay Type
- Pay Grid Code
- Pay Grade
- Pay Step
- Enable Salary Deferrals
- Amount
- Active FTE
- HR Company Code

Temporary assignment transfer HR request worksheet lines
For HR requests where the HR Reason Code is 26-TEMP TRANSFER, Sparkrock 365 creates worksheet lines based on the criteria that you specify on the Load HR Request Worksheet page.
On the Load HR Request Worksheet page, when you specify an HR Reason Code of 26-TEMP TRANSFER, there is a Temporary Transfer section.
The following list includes information about the fields in the Temporary Transfer section:
- Temporary Transfer HR Position Code: Specifies the code that represents the HR position that Sparkrock 365 is to temporarily transfer the employee to when creating worksheet lines for the temporary assignment transfer HR request.
- Assignment Start Date: Specifies the start date of the assignment that Sparkrock 365 is to temporarily transfer the employee to when creating worksheet lines for the temporary assignment transfer HR request.
- Assignment End Date: Specifies the end date of the assignment that Sparkrock 365 is to temporarily transfer the employee to when creating worksheet lines for the temporary assignment transfer HR request.
- Calculation Start Date: Specifies the start date that Sparkrock 365 is to use when creating worksheet lines for the temporary assignment transfer HR request.
- Calculation End Date: Specifies the end date that Sparkrock 365 is to use when creating worksheet lines for the temporary assignment transfer HR request.
On the HR Request Worksheet page, the values that Sparkrock 365 loads for Assignment Start Date, Assignment End Date, Calculation Start Date, and Calculation End Date are based on the values that you specify on the the Load HR Request Worksheet page.
The values for HR Position Code and HR Position Name are based on the HR position to which the employee is temporarily transferring.
The values for the following columns are defaulted from the HR position to which the employee is temporarily transferring:
- From HR Position Code
- From HR Position Name
- Location Code
- HR Department

- Union Code
- Assignment Type

On leave HR request worksheet lines
For HR requests where the HR Reason Code is 35-ON LEAVE, Sparkrock 365 creates worksheet lines based on the criteria that you specify on the Load HR Request Worksheet page.
On the Load HR Request Worksheet page, when you specify an HR Reason Code of 35-ON LEAVE, there are Leave and Payroll sections.
The following list includes information about the fields in the Leave section:
- Set Active FTE To Leave FTE: Specifies whether the value of Active FTE is to be set to the value of Leave FTE. For example, if before the leave an employee's Active FTE is 1 and Set Active FTE To Leave FTE is turned on, Sparkrock 365 sets the values on the HR Request Worksheet page for Active FTE to be 0 and Leave FTE to be 1.
- Leave FTE: Specifies the value of the leave FTE that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
- Cause of Inactivity: Specifies the cause of inactivity that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
- Leave Comments: Specifies the leave comments that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
- Leave Type: Specifies the type of leave that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
- Leave HR Pay Code: Specifies the leave HR pay code that Sparkrock 365 is to use when generating an HR request worksheet line for a leave. If the specified cause of inactivity code has an associated leave HR pay code, Sparkrock 365 automatically loads that leave HR pay code. If required, you can change the default code.
- Work Status While on Leave: Specifies the work status while on leave that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
The following list includes information about the fields in the Payroll section:
Pay Type: Specifies the type of pay that Sparkrock 365 is to use when generating an HR request worksheet line for a leave. The value that is specified here determines the types of pay grid that you can specify.
Pay Grid Code: Specifies the code that represents the pay grid that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
Pay Grade Code: Specifies the code that represents the pay grade that Sparkrock 365 is to use when generating an HR request worksheet line for a leave. The values that you can specify are based on the specified pay grid code.
Pay Step Code: Specifies the code that represents the pay step that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
Amount: Specifies the amount that Sparkrock 365 is to use when generating an HR request worksheet line for a leave. The field is only editable when the pay grid has a Type of Range.
On the HR Request Worksheet page, the values that Sparkrock 365 loads for the following columns are defaulted based on the HR position from which the employee is going on leave:
- HR Position Code
- HR Position Name
- Pay Type
- Pay Grid Code
- Pay Grade
- Pay Step
- Enable Salary Deferrals
- Amount
- HR Company Code
- HR Pay Cycle Code
- Days/Year

After Sparkrock 365 loads the lines, you can edit all fields as required.
Teacher on leave HR request worksheet lines
For HR requests where the HR Reason Code is 36-TEACHER ON LEAVE, Sparkrock 365 creates worksheet lines based on the criteria that you specify on the Load HR Request Worksheet page.
On the Load HR Request Worksheet page, when you specify an HR Reason Code of 36-TEACHER ON LEAVE, there are Leave and Payroll sections.
The following list includes information about the fields in the Leave section:
- Set Active FTE To Leave FTE: Specifies whether the value of Active FTE is to be set to the value of Leave FTE. For example, if before the leave an employee's Active FTE is 1 and Set Active FTE To Leave FTE is turned on, Sparkrock 365 sets the values on the HR Request Worksheet page for Active FTE to be 0 and Leave FTE to be 1.
- Leave FTE: Specifies the value of the leave FTE that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
- Cause of Inactivity: Specifies the cause of inactivity that Sparkrock 365 is to use when generating an HR request worksheet line for a leave.
