Create a Payment Request
Sparkrock 365 includes the following methods that you can use to create a payment request:
Create a payment request from scratch.
Create a payment request that copies details from an existing payment request.
Create a payment request from a payment request template.
To create a payment request from scratch
Choose , enter payment requests, and then choose the related link. Alternatively, on the Finance Department Manager role center navigation bar, choose Payment Requests.
The Payment Requests page opens.
On the action bar, choose New.
The Payment Request page opens.
Specify values as required.
To create a payment requests that copies the details from another payment request
Choose , enter payment requests, and then choose the related link.
The Payment Requests page opens.
On the action bar, choose New.
The Payment Request page opens.
On the action bar, choose Home > Copy Document.
The Copy Finance Request Document page opens.
In Document Type, specify Finance Request.
In Document No., specify the number of the document that you want to copy.
To include the header when copying the document, turn on Include Header.
To populate the document with the default values from the expense type or item, turn on Recalculate Lines.
To include internal and external comments from the source document, turn on Copy Comments.
Choose OK.
Create a payment request template
Payment requests that are used regularly can be saved as templates. Templates can save time and reduce errors as they already include the relevant information.
The following types of templates can be created:
Private: Can be viewed and used only by the user who created the template.
Public: Can be viewed and used by all users.
To view an existing template
On the Finance Department Managerrole center menu, choose Documents > Payment Request Templates.
The Payment Request Templates page opens.
To view a template, in the No. field of the template that you want to view, select the link that appears for the value.
To create a payment request template
On the Finance Department Manager role center menu, under Activities, in the Start group, choose Payment Request Template.
The Payment Request Template page opens.
In Template Type, specify Public or Private.
Specify values as required.
To verify that the template is ready for use, on the action bar, choose Verify.
To create a payment request from a template
On the Finance Department Manager role center menu, choose Documents > Payment Request Templates.
The Payment Request Templates page opens.
For the template that you want to use, in the No. field, select the link that appears for the value.
The Payment Request Template page opens.
On the action bar, choose Create Request.
The Create Requisition from Template page opens.
To include the default values from the expense type or item with the copy of the document, turn on Recalculate Lines.
When Recalculate Lines is turned off, the values from the template are copied to the new requisition.
To include internal and external comments from the template, turn on Copy Comments.
Choose OK.
The new payment request is created from the template.
Update and specify values as required.
