    Transfer an employee temporarily to a different assignment

    To support organizations that temporarily transfer employees to a different assignment, Sparkrock ERP provides the capability for you to create, and then process a temporary assignment transfer HR request.

    When you process a temporary assignment transfer HR request, Sparkrock ERP transfers an employee to a temporary assignment. After the temporary assignment finishes, Sparkrock ERP transfers the employee to a new assignment that is the same as their original assignment, except for a few details.

    For example, Sarah is a Teacher who was given a temporary assignment as a Vice Principal from July 1 to August 31, 2024. The following table describes the assignments that would appear in Sparkrock ERP for this example after the temporary assignment transfer HR request process has completed.

    A Teacher September 1, 2023 - June 30, 2024
    B Vice Principal July 1, 2024 - August 31, 2024
    C Teacher September 1, 2024 to present

    During the creation of a temporary assignment transfer HR request, on the HR Request-Transfer page, you must specify a value for Calculation End Date.

    When you process the HR request, Sparkrock performs the following tasks:

    1. On the Effective Date, Sparkrock ERP transfers the employee from their original assignment to the temporary assignment.

    2. On the Calculation End Date, Sparkrock ERP transfers the employee to a new assignment that is a copy of the original assignment. All details on the new assignment are the same as the original assignment, except for the values of the Calculation Start Date and Assignment Start Date fields. On the new assignment, Sparkrock ERP automatically populates the Calculation End Date with the value from the original assignment before the temporary transfer.

    To accommodate future dates, Sparkrock ERP uses scheduled tasks that run on the respective Effective Date and Calculation End Date.

    To transfer an employee temporarily to a different assignment

    1. Choose Lightbulb that opens the Tell Me feature., enter hr requests, and then choose the related link.

      The HR Requests page opens.

    2. On the action bar, choose New.

      The HR Request page opens.

    3. On the General FastTab, perform the following steps:

      1. In HR Reason Code, specify the code that represents a temporary assignment transfer, for example, 26-TEMP TRANSFER.

        The No. field is automatically populated.

      2. In Effective Date, specify the date on which the transfer is to take place.

      3. In Employee No., specify the employee number that corresponds to this HR Request.

      4. Specify values for other fields as required.

    4. On the action bar, choose Home > Details.

      The HR Request-Transfer page opens.

    5. On the General FastTab, perform the following steps:

      1. In HR Emp. Assignment Entry No., specify the employee’s current assignment that is being transferred.

      2. In Assignment End Date, specify the date on which the assignment is to end.

      3. In Calculation End Date, specify the date on which Sparkrock ERP is to transfer the employee back to the original assignment.

      4. In To HR Position Code, specify the employee’s new assignment.

        A dialog box appears that displays the following text:

        Do you want to allow updating of Total Amount on related HR Request Allowance(s)? Otherwise you will need to update related HR Request Allowance(s) manually.

      5. To allow updates to the total amount on the related one or more HR request allowances, choose Yes, otherwise, choose No.

      6. Specify values for other fields as required.

    6. On the Payroll, Employee Benefits, and Assignment Allowances FastTabs, specify values for fields as required.

    7. Choose Close.

      You are returned to the HR Request page.

    8. Process the HR request.

    Leave assignments

    Sparkrock ERP supports temporarily transferring employees who are on leave to a new position.

    To support this feature, you can specify values for the following fields on the HR Request-Transfer page:

    • Leave FTE: Specifies the proportion of work hours that are allocated to the leave.
    • Leave HR Pay Code: Specifies the HR pay code that is associated with the leave.
    • Total FTE: Specifies the sum of the Active FTE and Leave FTE.
    • Cause of Inactivity Code: Specifies the cause of inactivity code that represents the reason for the leave.

    When a leave assignment is selected on a temporary transfer HR request, Sparkrock ERP automatically updates or populates related fields such as the following based on that assignment:

    • Active FTE
    • Leave FTE
    • Hours/Day
    • Hours/Week
    • Hours/Year
    • Grounds for Termination Code

    As required, users can edit the following fields:

    • Cause of Inactivity
    • Leave FTE
    • Leave HR Pay Code
    • Leave Hours/Week

    When the HR request is processed, Sparkrock ERP copies the values for these fields to the new assignment. When processing the return from a temporary assignment, Sparkrock ERP restores the assignment details to match the original leave assignment.

    Reversal processing

    If the HR request is reversed, the new assignment that was created as part of the temporary transfer is cancelled. The leave related fields are retained on that assignment.

    The following fields on the original assignment are retained or restored:

    • Leave FTE
    • Leave HR Pay Code
    • Total FTE
    • Cause of Inactivity Code
    • Cause of Inactivity
    • Leave Hours/Week
