Set up time entry unit positions and unit position activities
Before performing time entry in Sparkrock 365, you must perform some setup for time entry unit positions and time entry unit position activities.
Time entry unit positions
Time entry unit positions are the positions that are associated with the time entry unit for data entry purposes. Only employees that have an active assignment with those positions can have data entry performed for the time entry unit.
To create a time entry unit position
Choose
, enter time entry units, and then choose the related link.
The Time Entry Units page opens.
Select the time entry unit for which you want to create a position, and then on the action bar, choose Positions.
The Time Entry Unit Positions page opens.
On the action bar, choose New.
A new row appears.
In HR Position Code, specify a value.
Specify values for other fields as required.
These other fields provide the capability to further filter or control which employee assignments can have data entry performed for this unit. The employee assignment must match all defined filter fields for an employee assignment to be available for data entry for the unit.
If an HR position has been previously used for time entry in a unit, but is no longer valid, the HR position can be blocked. Blocking the HR position prevents time from being entered for that position in the unit.
Time entry unit position activities
Activity codes are associated with time entry unit positions. Activities represent the type of work that is being performed for the position. Activities allow overriding dimension values, overriding the hourly rate, or both. This functionality is beneficial if certain types of employee positions have variable rates of pay depending on the type of work the employees perform.
At least one activity must exist for each unit position because time is entered by unit position activity.
Activity codes must be set up as a time entry activity before the codes can be assigned to a time entry unit position activity. This design enforces standardized values across all unit position activities.
To create time entry unit position activities
Choose
, enter time entry units, and then choose the related link.
The Time Entry Units page opens.
Select the time entry unit for which you want to create time entry unit position activities, and then on the action bar, choose Positions.
The Time Entry Unit Positions page opens.
Select the position for which you want to create an activity, and then on the action bar, choose Activities.
The Time Entry Unit Position Activities page opens.
On the action bar, choose New.
A new row appears.
In Activity Code, specify the code that represents the activity you want to add.
To specify that this activity is to be filled in with default hours from the value on the HR Employee Assignment Card page, on the Timekeeping FastTab, in Hours/Day, select the Primary Activity checkbox.
Only one activity can have the Primary Activity checkbox selected. Hours are only defaulted for the activity that is designated as primary.
In Order No., if a unit has multiple activities, specify a value.
This field controls the order in which activities, that are grouped by employee, appear on consecutive rows on the Time Sheet Entry page, the mySparkrock Timesheet page, or both pages. If an order is not specified, the ordering of rows is not defined. However, the rows are still grouped by employee.
In Account Set Code, specify the code that represents the account set that is to be used when time sheet data is sent to the compensation journal.
In the dimension fields, specify the values that are to be used when time sheet data is sent to the compensation journal.
In HR Pay Code, specify a value that is to override the value on the HR Employee Assignment Card page, on the Payroll / Compensation FastTab, in Active HR Pay Code.
If you perform a lookup on this field, the list that is displayed includes HR Pay Codes where Type is Per Diem or Hour. If this field is blank the HR Pay Code on the employee assignment is used.
To specify that hours from the unit position activity are not to be sent to payroll for processing, select the Do Not Send Hours checkbox.
This field can be useful when hours are being recorded, but the employee salary is not based on this setup.
In Override Hourly Rate, specify an override for the rate from the employee assignment.
In Comp. Time Code, specify the code that determines how hours worked are stored for future time off.
The hours are not paid immediately. When the hours are paid, the hours use the HR pay code that is associated with the related cause of absence record. This field is only used with the comp time functionality.
To apply the multiplier from the HR pay code when storing the hours for future time off, select the Use Multiplier for Comp. Hours checkbox.
For example, if 1 hour of overtime must create an accrual entry of 1.5 hours, select the checkbox.
To prevents data entry against this unit position activity, select the Blocked checkbox.
Show current employees
On the Time Entry Unit Positions page, if you choose the Show Current Employees action, the Time Entry Unit Position Employees page opens. The Time Entry Unit Position Employees page displays the employees that have an assignment that matches the time entry unit positions filter criteria. The Time Entry Unit Position Employees page is intended to aid in the setup of employees to time entry unit positions.
