Set Up Time Entry for Terminated Employees
In some locations, employees who are terminated can perform time entry for a specific duration after their termination date.
To support this requirement, Sparkrock 365 includes the following set up options to allow time entry for terminated employees:
Allow time entry for all HR employee assignments.
Allow time entry for specific HR employee assignments.
Allow time entry for terminated employees for all HR employee assignments
When time entry for terminated employees is turned on for all HR employee assignments, an Hours Entry End Date field appears on the following pages:
HR Request-Termination
HR Employee Assignments
HR Employee Assignment Card
The Hours Entry End Date field specifies the date after which a user cannot enter hours for time entry.
For all completed assignments, Sparkrock 365 automatically populates the Hours Entry End Date field on the HR Employee Assignment Card page to have the same value as the Calculation End Date field.
To turn on time entry for terminated employees for all HR employee assignments
Choose , enter time entry setup, and then choose the related link.
The Time Entry Setup page opens.
Turn on Hours Entry End Date on Assignments.
Allow time entry for terminated employees for specific HR employee assignments
When time entry for terminated employees is turned on for a specific HR employee assignment, an Hours Entry End Date field appears on the respective HR Employee Assignment Card page.
The Hours Entry End Date field specifies the date after which a user cannot perform time entry.
To turn on time entry for terminated employees for a specific HR employee assignment
Choose , enter employees, and then choose the related link.
The Employees page opens.
Select the employee for which you want to turn on time entry for a specific HR employee assignment, and then on the action bar, choose Related > Employee > Assignments.
The HR Employee Assignments page opens.
Select the HR employee assignment for which you want to turn on time entry, and then on the action bar, choose Edit.
The HR Employee Assignment Card page opens.
Turn on Hours Entry End Date Enabled on Assignment.
An Hours Entry End Date field appears on the respective HR Employee Assignment Card page. The Hours Entry End Date field specifies the date after which a user cannot perform time entry.
Example
Consider a scenario where an employee is terminated on October 29. The employee is allowed to perform time entry until November 2.
On the termination HR request, in the Hours Entry End Date field, a value of November 2 is specified.
In this scenario, Sparkrock 365 allows the employee to perform time entry up until November 2, but prevents time entry on and after November 3.
