Set up an Ontario School Information System (OnSIS) integration
The Ontario School Information System (OnSIS) integration updates educator assignment data with current data from Sparkrock 365.
The OnSIS integration process includes the following steps:
Importing a snapshot file from OnSIS.
Checking for changes between the snapshot and current educator data.
Creating an XML format export file to send changes back to OnSIS.
Setup
Before you can perform the process, you must perform some setup.
HR integration setup
You must set up the HR Integration Setup page.
To set up the HR Integration Setup page
Choose
, enter hr integration setup, and then choose the related link.
The HR Integration Setup page opens.
On the ON - School Information System (OnSIS) FastTab, in Association Code, specify which association code is to be used to store the registration number for the employee that OnSIS uses to track the employee.
HR employee assignment detail setup
All employee assignments that are to be reported to OnSIS must have assignment detail records created that match the Active FTE in the related assignment. Qualifications that are relevant for OnSIS must have a Class of Skill.
Assignment Details for OnSIS reporting must have a Class of Skill.
To set up the HR Employee Assignment Detail page
Choose
, enter hr employee assignments, and then choose the related link.
The HR Employee Assignments page opens.
Select the HR employee assignment for which you want to view the HR Employee Assignment Detail page, and then on the action bar, choose Related > Assignment Detail.
The HR Employee Assignment Detail page opens.
To create an HR employee assignment detail, on the action bar, choose New.
A new row appears.
Specify values for fields as required.
OnSIS mapping setup
The OnSIS Mapping Setup page is used to map records for the following OnSIS data:
DEPARTMENT_TYPE
EDUCATOR_LEAVE_TYPE
INSTRUCTIONAL_TIME_TYPE
POSITION_TYPE
TEACHING_TYPE
ASSIGNMENT_WITHDRAWAL_TYPE
SCHOOL
To set up the OnSIS Mapping Setup page
Choose
, enter onsis mapping setup, and then choose the related link.
The OnSIS Mapping Setup page opens.
In Mapping Selector, select the OnSIS reference table that you want to set up.
To create an OnSIS mapping, on the action bar, choose New.
A new row appears.
In Code specify a code to represent the mapping.
This data is provided by OnSIS.
In Description, specify a description for the mapping.
This data is provided by OnSIS.
OnSIS position mapping setup
The OnSIS Position Mapping page is used to specify combinations of employee assignment HR position class code, HR position code, or both with OnSIS position type, teaching type, instructional type and department type.

The INSTRUCTIONAL_TIME_TYPE may be overridden by new fields that are added to the HR Employee Assignment Detail page.
The OnSIS position mapping setup must have an entry defined for HR position class code. It is optional to use both the HR position class code and HR position code, but this setup allows for more granular definitions for reporting purposes. If HR Position Code is blank in the OnSIS position mapping, Sparkrock 365 matches only on the HR position class code.
For example, if OnSIS sends information for the employee in a specific location, via the CSV import, and Sparkrock 365 cannot locate a valid OnSIS position mapping record, the OnSIS workspace change action informs OnSIS to delete the one or more records from their system.
To set up OnSIS Position Mapping page
Choose
, enter onsis position mapping, and then choose the related link.
The OnSIS Position Mapping page opens.
To create a position mapping, on the action bar, choose New.
A new row appears.
Specify values for fields as required.
Crosswalk setup
On the OnSIS Crosswalk page you can map values from the HR employee assignment record for cause of inactivity, grounds for termination, and location codes to values that are used by OnSIS. The OnSIS values are set up on the OnSIS Mapping Setup page, when Mapping Selector is EDUCATOR_LEAVE_TYPE, ASSIGNMENT_WITHDRAWAL_TYPE, and SCHOOL.
To set up the OnSIS Crosswalk page
Choose
, enter onsis crosswalk, and then choose the related link.
The OnSIS Crosswalk page opens.
To create a crosswalk, on the action bar, choose New.
A new row appears.
Specify values as required.
When Crosswalk Selector is Location, the user must indicate the Location Type for each entry.
