Set up accounts payable batch management
To initiate accounts payable batch management within your organization and to provide the required accounts payable personnel with access to the functionality, some configuration and setup steps must be performed.
After these steps are performed, the accounts payable representatives and auditors can access and use the functionality.
To enable accounts payable batch management functionality
Choose
, enter purchases & payables setup, and then choose the related link.
The Purchases & Payables Setup page opens.
On the A/P Batch Management FastTab, perform the following steps:
- Turn on Enable A/P Batch Management.
- If your organization has one person create a batch and another person audit the batch, turn on Prevent Self Auditing.
On the Number Series FastTab, in Batch Nos., specify the number series that is to used for accounts payable batches.
Provide accounts payable users access to accounts payable batch functionality
For each accounts payable representative and auditor that is required to perform batch management duties, the user account must be enabled to allow access to various accounts payable batch functions, according to their role in the process.
To enable user access to the batch management functionality
Choose
, enter user setup, and then choose the related link.
The User Setup page opens.
Locate the user for which you want to enable accounts payable batch management functionality, and then depending on the user's role, select the following checkboxes as applicable:
- AP Batch Admin: Specifies whether the user can add invoices to batches that are created by other users.
- Allow A/P Batch Creation: Specifies whether the user can create batches.
- Allow A/P Batch Auditing: Specifies whether the user can audit batches.
- Allow A/P Batch Deletion: Specifies whether the user can delete batches.
