These release notes include supplemental information about the payroll release version 21.25.0.0.
Use Actual Work Dates and Use Automatic Late Codes
On the Additional Payroll Setup page, on the General FastTab, this release introduces the following new fields:
Use Actual Work Dates: Checks the pay cycle period and if the pay cycle period is closed, Sparkrock 365 makes the usage date inside the open pay cycle period and specifies the actual work date as the date that was originally specified via hours entry. This field provides the capability to automatically track whether there was late time.
Use Automatic Late Codes: Populates the late code if the work date was in the past in a pay cycle that was not open.
These new fields can be used independently.
Late Earnings Code
If on the Additional Payroll Setup page, Use Automatic Late Codes is turned on, the Late Earnings Code field becomes available on earnings Payroll Code Setup Card pages. You can use the Late Earnings Code field to link the late earnings code to the necessary earnings code. When the Late Earnings Code field is populated, if the pay cycle is closed, this earnings code is used when records are populated in Hours Detail.
Actual Work Date
When on the Additional Payroll Setup page, Use Actual Work Dates is turned on, the Actual Work Date field becomes available on the Manual Hours Details page.
In this screen capture you can see how the Usage Date field automatically populates the first available date in the next open pay cycle even though the Actual Work Date is from the prior or closed pay cycle.If the code in the Earnings Code field has a Late Earnings Code attached, when the earnings code references the Hours Detail, the earnings code is switched out with the Late Earnings Code automatically.
Hide PTO FactBox Amount & Hide PTO FactBox Hours
On the Additional Payroll Setup page, on the Advanced PTO Setup page, this release introduces the following new fields:
Hide PTO FactBox Hours
Hide PTO FactBox Amount
These fields were added to allow users to turn on or turn off the ability to view the PTO FactBox Amounts and Hours.
Include Open Docs in CPP/EI Limit Check
On the Additional Payroll Setup page, on the Canadian Setup FastTab, this release adds the Include Open Docs in CPP/EI Limit Check field. When this field is turned on, open payroll document CPP or EI amounts are included with the payroll ledger entries when checking the limits and the CPP exemption is only applied to one open document.
Enable CPP Exemption Amount Ledger
On the Additional Payroll Setup page, on the Canadian Setup FastTab, this release adds the Enable CPP Exemption Amount Ledger field. When this field is turned on, the CPP exemption amount is tracked in the ledger by employee. Therefore, the amount can be applied to the multiple open payroll documents at once until the amount is completely used per pay period.
Payout PTO Automatically
Starting with this release, when on the Payroll Code Setup Card page, Payroll PTO Automatically is turned on, the Payout PTO Automatically field becomes available on the Employee PTO Card page, on the Amount Accrual Setup FastTab, so that the amount accrued can be automatically paid out.
Payout Expense Allocation Based on Earnings/Advanced Filter
When on the Payroll Code Setup Card page, on the PTO Setup FastTab, Payout Exp. Allo. Based on Earnings/Adv. Filter is turned on, the expense allocation lines behind the PTO payout payroll code are created based on the PTO Accrual Earnings Filter or Advanced PTO Earnings Filter that calculates the earnings that are applicable in the accrual.

To turn on Payroll Exp. Allo. Based on Earnings / Adv. Filter, on the Payroll Code Setup Card page, Payroll PTO Automatically must be turned on.
Advanced PTO Earnings Filter Code
On the Payroll Code Setup Card page, on the PTO Setup FastTab, when Advanced PTO Earnings Filter Code is populated, the earnings that apply to the PTO code are set based on the advanced filter code that is specified in this field. The advanced filter can also be used to set additional filters, for example, on positions and custom dimensions.
On the Process Procedure Advanced Filter Card page, you can set active payroll codes for the filter along with other codes, such as position codes and union codes.Do Not Accrue Hours
On the Payroll Code Setup Card page, if the PTO earnings code is an amount based accrual, and Do Not Accrue Hours is turned on, the calculation skips the hours accrual and only accrues dollars.
Include PTO Code Earnings in Payout Calc
On the Payroll Code Setup Card page, if Include PTO Code Earnings in Payout Calc. is turned on, the payout percentage calculation includes the PTO payout in the current payroll document of this payroll code.
Enable Unlimited Report Groups
On the Payroll Report Layout page, when Enable Unlimited Report Groups is turned on, a user can make as many report groups as required. Also, when Enable Unlimited Report Groups is turned on, the report is not constrained to just 8 groupings and the type of grouping can be specified, for example, dollars, hours, and quantity.
Copy Web Portal Login / Password to New Company
On the Payroll Setup page, when Copy Web Portal Login / Password to New Company is turned on , the employee self – service portal logins and passwords are copied to the new company when a company is copied. Typically, you would not want the logins and passwords to be copied from the live company to a test company.
New Process Procedure
On the Process Procedure Header page, when Procedure Operation is set to Option 2 Procedure, in Procedure Operation 2, this release introduces new options.
Payroll Code Amt. Deduct. Card Date Filter
When Procedure Operation 2 is set to Payroll Code Amt. Deduct. Card Date Filter, the date filter on the employee deduction card is used when determining the payroll code amount from the ledger. This option provides the capability to control what balance is specified.
Payroll Code Amt. on Open Docs
When Procedure Operation 2 is set to Payroll Code Amt. on Open Docs, the payroll code amount on the other open documents for the same employee number at the time is used.
Get Custom Limit
When Procedure Operation 2 is set to Get Custom Limit, a user has the capability to specify for a process procedure a custom deduction limit that is set up on the Custom Deduction Limits page.
Apply Deduct. / Emp. Cont. Custom Limit
When Procedure Operation 2 is set to Apply Deduct. / Emp. Cont. Custom Limit, a user can test against the custom limits. If the process procedure calculation exceeds the limit, this procedure reduces the deduction down to the limit.
Open Batch Hours Details Report
The Open Batch Hours Details Report displays the hours in a batch.
Open Batch PTO Accruals Report
The Open Batch PTO Accruals Report displays any PTO that has accrued in the batch.
PTO Accrual by Document Report
The PTO Accrual by Document Report displays the batch ID, payroll document number, employee number, earnings code, and PTO accrual amount.

This report is available when on the Additional Payroll Setup page, on the General FastTab, Allow Same Emp. Multiple Open Docs. is turned on.
If one or more employees have a claimed credit amount other than zero, to update the claimed credit amount by effective date and tax jurisdiction, on the action bar, choose Update Claimed Credits. If one or more employees have a claimed credit of zero, this action does not apply any updates because the tax tables determine all claimed credit amounts.
Use Employee Birthday as Start / Anniversary Date
On the Employee PTO Template page, when Use Employee Birthday as Start/Anniversary Date is turned on, the employee’s birthday is used for both the start date and anniversary date in the PTO card.
Default Batch Pay Cycle
Starting with this release, when on the Payroll Setup page, there is a value specified for Default Batch Pay Cycle, the pay cycle in the salary card is automatically populated with the default batch pay cycle.
T4 & W2 Excel View
Starting with this release, you can access T4 and W2 Excel views using the report layouts that are available in Primo Payday.
To access a T4 in an Excel view
Choose , enter payroll ledger entries, and then choose the related link.
The Payroll Ledger Entries page opens.
Select the record for which you want to access a T4 report, and then on the action bar, choose Reports > T4 Distribution Management.
The T4 Distribution Management page opens.
On the action bar, choose Reports > T4 Report.
The T4 Report page opens.
On Report Layout, choose .
Select the USPYCANT4ExportSummaryTo... report layout.
To view the T4 report output, choose Send To > Microsoft Excel Document (data and layout).
To access a W2 in an Excel view
Choose , enter payroll ledger entries, and then choose the related link.
The Payroll Ledger Entries page opens.
Select the record for which you want to access a W2 report, and then on the action bar, choose Reports > W2 Distribution Management.
The W2 Distribution Management page opens.
On the action bar, choose Reports > W2 Report.
The W2 Report page opens.
On Report Layout, choose .
Select the W2ExcelLayout report layout.
To view the W2 report output, choose Send To > Microsoft Excel Document (data and layout).
