Ontario School Information System (OnSIS) integration
The Ontario School Information System (OnSIS) integration updates educator assignment data with current data from Sparkrock 365.
The OnSIS integration process includes the following steps:
Importing a snapshot file from OnSIS.
Checking for changes between the snapshot and current educator data.
Creating an XML format export file to send changes back to OnSIS.
Workspace
The OnSIS integration utilizes a workspace to import the OnSIS snapshot data. After the data is imported, changes between imported data and what exists in Sparkrock 365 can be determined. After the changes are determined, an XML file can be created and sent to OnSIS.
To perform an OnSIS integration
Choose
, enter onsis workspace, and then choose the related link.
The OnSIS Workspace page opens.
To import the data that is maintained by OnSIS via an CSV file that is exported from OnSIS, on the action bar, choose Actions > Import.
The Import dialog box appears.
Choose Choose, browse to and select the file, and then choose Open.
Do not open the file from OnSIS in Microsoft Excel, and then save the file. Only use a text editor, such as Notepad. Also, several files can be imported one after another, however, the changes are processed together using the same As of Date.
When the import is performed, Sparkrock 365 detects warnings and errors with the data. To resolve the errors and warnings, it is recommended that the data be fixed in Sparkrock 365, at least for the errors, before processing the changes.
After the data is updated, to clear the errors and warnings, on the action bar, choose Reprocess Warnings / Errors.
After the warnings and errors have been resolved, on the action bar, choose Actions > Load Changes.
The OnSIS Workspace Change Load page opens.
Specify an As of Date.
Any assignment changes that are made after the As of Date are ignored.
Specify filters as required, and then choose OK.
The Load Changes action, performs the following tasks:
Creates records with the Action of Add when valid assignments are found that OnSIS does not yet know about.
Marks existing records with the Action of Update when any information that is stored by OnSIS is found to be different than what exists in Sparkrock 365.
Marks existing records with the Action of Delete when a valid assignment record with detail for the workspace record cannot be found.
Sparkrock 365 matches the location code based on the locations that are included in the uploaded CSV file. Often, Sparkrock 365 might suggest to delete a record only because the assignment has a blank location code value.
Changed fields are displayed in bold green.
To view the old and new values, on the action bar, choose Related > View Changes.
The main workspace record shows the new values.
After you are satisfied with the data, to create the XML file that is required to upload the changes to OnSIS, on the action bar, choose Actions >Export.
The OnSIS Workspace Export page opens.
Specify values as required, and then choose OK.
If any errors exist, the export file is not created. To create the export file, you must resolve the errors or delete the workspace lines that have errors.
To archive the data, on the action bar, choose
, and then choose Open in Excel.
The data remain in the OnSIS Workspace page until the next time a CSV file is imported. It is recommended that you archive the data that was sent to OnSIS before replacing the data with a new import.
