Import purchase invoice lines
Sparkrock 365 provides the capability for you to load invoice lines into a purchase invoice systematically instead of having to manually enter the data. This feature involves using a Microsoft Excel spreadsheet template.

Populate the import purchase invoice lines template
After you have downloaded the Import Purchase Invoice Lines Template, you can populate the template.
To populate the import purchase invoice lines template
If you are using Account Set Codes, in the Account Set Code column, specify values that are configured within Sparkrock 365.
In the Type column, specify a value.
Typically, G/L Account is specified. If you have inventory configured, you can also specify Item.
In the No. column, specify the general ledger account number.
In the Description column, you can leave the field blank or you can enter a description.
If you leave the field blank, when you import the lines, the description that is associated with the general ledger account is automatically populated for the line. If you enter a value, the value that is entered overwrites the description that is associated with the general ledger account.
In the Details column, enter additional information for the purchase invoice lines.
In the Vendor Item No. column, if you have a vendor item number, specify the value for the purchase invoice line.
In the Direct Unit Cost column, specify the direct unit cost excluding tax for the purchase invoice line. When you import the purchase invoice lines, the tax is automatically populated on the lines. In the Direct Unit Cost fields, positive and negative amounts can be specified.
You cannot post a purchase invoice when the total of an invoice is negative. If the amount is negative, a purchase credit memo must be created.
Import purchase invoice lines into a purchase invoice
After you have populated the Import Purchase Invoice Lines Template, you can import the data into Sparkrock 365.
To import purchase invoice lines into a purchase invoice
Choose , enter purchase invoices, and then choose the related link.
The Purchase Invoices page opens.
On the action bar, choose New.
The Purchase Invoice page opens.
On the General FastTab, complete the fields as required.
On the Lines action bar, choose Line > Functions > Import Invoice Lines.
The Import Purchase Invoice Line page opens.
In Work Book File Name, specify a template.
If your template has more than one worksheet, you must also specify the worksheet that you want to import.
To import the purchase invoice lines, choose OK.
The line information from the spreadsheet is imported.
When you import purchase invoice lines, Quantity defaults to 1. You must manually update the Quantity field.
The Tax Area Code column is populated based on the value that was specified on the General FastTab, in Tax Area Code.
The Tax Group Code column is populated based on the G/L Account information that was specified in the template.
The Tax Liable column is populated based on the value that was specified on the General FastTab, in Tax Liable.
When you import purchase invoice lines, the expense portion of the tax is allocated against each line. Only the recoverable portion of the tax displays Total Tax. Total Tax is updated when the purchase invoice is released or you update the Quantity for a line.
On the action bar, choose Home > Release.
The status of the purchase invoice changes to Released. You can now proceed with processing the purchase invoice as per your usual process.
