Hire or rehire employees
Sparkrock 365 includes functionality to help you manage a hire or rehire of an employee.
Create an HR request for a new hire
Choose , enter hr requests, and then choose the related link.
The HR Requests page opens.
On the action bar, choose New.
The HR Request page opens.
On the General FastTab, perform the following steps:
- In HR Reason Code, specify the code that represents a new hire.
The No. field is automatically populated. - In Effective Date, specify the date on which the employee is expected to start work.
- Specify values for other fields as required.
- In HR Reason Code, specify the code that represents a new hire.
On the action bar, choose Home > Details.
The HR Request-Hire page opens.
On the Employee FastTab, perform the following steps:
- In First Name (Legal), specify the employee’s first name.
Sparkrock 365 automatically populates the value that you specify here in Preferred First Name. If required, you can change the value of Preferred First Name. If the Preferred First Name field is populated when you make a change to the First Name (Legal) field, Sparkrock 365 does not automatically update the Preferred First Name field. - In Last Name (Legal), specify the employee’s last name.
- Specify values for other fields as required.
- In First Name (Legal), specify the employee’s first name.
On the Assignment FastTab, in HR Position Code, specify the code that represents the job for which the new employee is being hired.
The Assignment Start Date that you specified on the HR Request page, on the General FastTab, is automatically populated on the Assignment FastTab. If required, you can change the value.
On the Payroll FastTab, perform the following steps:
- In Pay Step, specify a value.
If you cannot view the Payroll FastTab, ensure that on the User Setup page, the Allow User to Access Compensation Data checkbox is selected for your User ID. - If required, in Amount, specify the payment amount.
If the Pay Grid has a Type of Fixed, the amount automatically populates. If the Pay Grid has a Type of Range, you can specify an amount above or below the range, for example, for red-circled employees. In this case, you are prompted to ask whether you are sure you want to do this when you leave the field. - In Hours/Week and Hours/Day, verify that the appropriate hours per week and hours per day are populated.
- In HR Company Code, specify a value.
- In Pay Step, specify a value.
If you are using the OTIP or ONE-T payroll integrations, the Employee Benefits FastTab must be completed. On the Employee Benefits FastTab, perform the following steps:
- In Benefit Plan Code, if applicable, specify the code that represents the benefit plan that applies to this employee.
- Verify the value for Effective Date.
Effective Date defaults based on the value that was specified on the HR Request page, in the Effective Date field. - If this employee is not eligible for the benefit plan, select the Not Eligible checkbox.
- In Benefit Eligibility Date, specify the date when this employee is eligible for benefits.
- In Benefit FTE, specify the employee’s FTE for benefit coverage.
This field is only required if you are using the OTIP or ONE-T payroll integrations. - Specify values for other fields as required.
Benefit group default values are based on the HR position code that is specified, but can be changed manually. Benefit Annual Salary defaults from Amount that was specified on the Payroll FastTab.
If an employee’s assignment are to be divided into multiple dimensions, complete the Assignment Allocations FastTab. To complete the Assignment Allocations FastTab, perform the following steps for each allocation:
- Specify an Account Set Code.
- In Amount, specify a value.
- Specify value for other fields as required.
To manage any qualifications that an employee may have, on the Assignment Details FastTab, perform the following steps:
- To add an existing qualification, in Qualification Code, specify a value.
- Specify values for other fields as required.
To manage earnings that an employee might receive, but for which the employee does not have a specific assignment, for example, a stipend for a cell phone, complete the Assignment Allowances FastTab. To complete the Assignment Allowances FastTab, perform the following steps for each allowance:
- In Allowance Code, specify the code that represents the allowance.
- In Start Date and End Date, specify dates.
- (Optional) In Description, specify a description.
- In Total Amount, specify the allowance amount.
- Specify values for other fields as required.
Choose Close.
You are returned to the HR Request page.
Process the HR request.
Create an HR request for a rehire
Choose , enter hr requests, and then choose the related link.
The HR Requests page opens.
On the action bar, choose New.
The HR Request page opens.
On the General FastTab, perform the following steps:
- In HR Reason Code, specify the code that represents a rehire.
The No. field is automatically populated. - In Effective Date, specify when the employee is expected to start work.
- In Employee No., specify the employee number that corresponds to this HR Request.
- Specify values for other fields as required.
- In HR Reason Code, specify the code that represents a rehire.
On the action bar, choose Home > Details.
The HR Request-Hire page opens.
On the Employee FastTab, perform the following steps:
- In First Name (Legal), specify the employee’s first name.
- In Last Name (Legal), specify the employee’s last name.
- Specify values for other fields as required.
On the Assignment FastTab, in HR Position Code, specify the code that represents the job for which the new employee is being hired.
