Create a cash receipt
Sparkrock 365 provides the capability for you to create cash receipts. The individual cash receipts can be grouped into a cash receipts batch. After you create a cash receipt, you can issue the cash receipt.
To create a cash receipt
Choose , enter cash receipts, and then choose the related link.
The Cash Receipts page opens.
On the action bar, choose New.
The Cash Receipt Card page opens.
On the General FastTab, perform the following steps:
- Move the cursor out of the No. field.
Sparkrock 365 automatically generates a number for the receipt. The receipt is assigned to the latest open batch that was created by the same user, or is automatically assigned to the batch from which the receipt was created. - In Type, if this represents a payment made to your company, specify Payment. Alternatively, if you are returning funds, specify Refund.
- In Document Date, specify the date of the receipt.
Sparkrock 365 defaults this value to Today. - In Customer No., if the cash receipt is related to a customer that is set up in Sparkrock 365, specify the number that represents this customer. The remaining name and address fields are automatically populated with data from the customer card. Alternatively, if the cash receipt is not related to a customer, leave this field blank, and then specify values manually in the name and address fields.
- In Email Address, specify an email address to be used for sending the receipt via email.
- Move the cursor out of the No. field.
Enter one or more lines for the cash receipt. The following types of lines are supported:
Standard line with or without tax. For a standard line, perform the following steps:
- To ensure the line is not linked to a customer and does not flow through accounts receivable, ensure that A/R is clear.
- In Account Set Code, specify the account set code where the transaction is to be posted.
Only account set codes that have been set up with cash receipts display. - In Description, specify a description for the transaction.
- In Details, if required, specify any additional details for the transaction.
- In Amount Excl. Tax, specify the amount excluding tax for the receipt.
- In Tax Jurisdiction Code, if you would like tax added to the line, specify the code for the appropriate tax jurisdiction. Alternatively, leave this field blank.
Tax Amount is a calculated field. Sparkrock calculates this field based on the jurisdiction that is selected and the percent set up on that jurisdiction.
Amount Incl. Tax is a calculated field. The value is the Amount Excl. Tax plus the Tax Amount.
A/R Line that is to be linked to the customer. For an A/R line, select the A/R checkbox.
Cash receipts do not support applications. A/R entries that are entered using this method must be posted to the customer with an automatic application method or the applications must be performed on the customer record after the fact.
