Add additional employee assignments
To add an additional assignment to an employee who already has an assignment, create an additional assignment HR request. The following are examples of employees who have more than one assignment:
A part-time nurse who is also employed part-time as a custodian.
A teacher who is teaching in two different schools.
Employee benefits for an additional assignment HR request
When you process an additional assignment HR request, Sparkrock 365 makes changes to the employee's Employee Benefits page as follows:
If the benefit plan of the new assignment is the same as the existing assignment, Sparkrock 365 does not make any changes to the employee's Employee Benefits page. In other words, the employee's benefit plan code remains the same.
If the benefit plan of the new assignment is different than the existing assignment, and on the employee's Employee Benefits page there are one or more existing records, Sparkrock 365 retains the one or more existing records. In other words, Sparkrock 365 does not delete any records.
If the benefit plan of the new assignment is different than the existing assignment, and on the employee's Employee Benefits page, no records exist, Sparkrock 365 updates the employee's Employee Benefits page to have the new benefit plan code. For this scenario, if the effective date is less than or equal to today, Sparkrock 365 performs the update immediately. Otherwise, if the effective date is in the future, Sparkrock 365 does not update the employee's Employee Benefits page to have the new benefit plan code until the effective date is reached.
To add an additional assignment
Choose , enter hr requests, and then choose the related link.
The HR Requests page opens.
On the action bar, choose New.
The HR Request page opens.
On the General FastTab, perform the following steps:
- In HR Reason Code, specify the code that represents an additional assignment.
The No. field is automatically populated. - In Effective Date, specify the date on which the new assignment begins.
- In Employee No., specify the employee number that corresponds to this HR Request.
- Specify values for other fields as required.
- In HR Reason Code, specify the code that represents an additional assignment.
On the action bar, choose Home > Details.
The HR Request-Additional Assignment page opens.
On the General FastTab, perform the following steps:
- In Assignment Start Date, specify the date on which the new assignment becomes effective.
The default value is based on the Effective Date that was specified on the HR Request page. - In HR Position Code, specify the new job position that is being assigned to the employee.
- Specify values for other fields as required.
- In Assignment Start Date, specify the date on which the new assignment becomes effective.
On the Payroll FastTab, perform the following steps:
- In Pay Type, specify the pay type for the new assignment.
- In Pay Grid Code, specify the pay grid for the new assignment.
- In Pay Grade, specify the employee's pay grade for the new assignment.
- In Pay Step, specify the pay step for the new assignment.
- In HR Company Code, specify the HR company code for the new assignment.
- In HR Pay Cycle Code, specify the HR pay cycle code for the new assignment.
- In Active HR Pay Code, specify the HR pay code for the new assignment.
If an employee’s assignment are to be divided into multiple dimensions, complete the Assignment Allocations FastTab. To complete the Assignment Allocations FastTab, perform the following steps for each allocation:
- Specify an Account Set Code.
- In Amount, specify a value.
- Specify value for other fields as required.
To manage earnings that an employee might receive, but for which the employee does not have a specific assignment, for example, a stipend for a cell phone, complete the Assignment Allowances FastTab. To complete the Assignment Allowances FastTab, perform the following steps for each allowance:
- In Allowance Code, specify the code that represents the allowance.
- In Start Date and End Date, specify dates.
- (Optional) In Description, specify a description.
- In Total Amount, specify the allowance amount.
- Specify values for other fields as required.
Choose Close.
You are returned to the HR Request page.
Process the HR request.
