Place employees on leave with return
Sparkrock 365 includes functionality to help you manage placing an employee on leave. If the employee's date of return is not known, see Place employees on leave.
To place an employee on leave and record their return
Choose , enter hr requests, and then choose the related link.
The HR Requests page opens.
On the action bar, choose New.
The HR Request page opens.
On the General FastTab, perform the following steps:
- In HR Reason Code, specify a code that represents one of the following scenarios:
- Employee on leave and return
- Teacher on leave and return
- In Effective Date, specify the date on which the employee is to start their leave.
- In Employee No., specify the employee number that corresponds to this HR Request.
- Specify values for other fields as required.
- In HR Reason Code, specify a code that represents one of the following scenarios:
On the action bar, choose Process > Details.
The HR Request-Leave - Leave and Return page opens.
On the Leave FastTab, perform the following steps:
- In HR Emp. Assignment Entry No., specify the employee’s active assignment which is now going on leave.
- In Cause of Inactivity, specify the reason for the employee’s leave.
- In ROE Reason Code, specify the code that represents the Record of Employment (ROE) reason.
This value is used during the creation of the ROE. - In Leave Type, specify the type of leave that applies to this employee.
- If applicable, in Leave HR Pay Code, specify the pay code for the employee while they are on leave.
- In Leave FTE, specify the appropriate Leave FTE value.
Typically, the total of Leave FTE and Active FTE matches the original assignment FTE. - Specify values for other fields as required.
On the Return from Leave FastTab, perform the following steps:
- In Leave Return Date, specify the employee’s expected return date.
- (OTIP integration only) In Work Status Code Upon Return, specify the employee’s work status when returning to work.
- In HR Pay Code upon Return, specify the employee’s HR pay code on return.
- In Active FTE upon Return, specify a decimal value between 0 and 1 that represents how much of a full-time position this employee is expected to work upon their return.
For example, .5 indicates that the employee is to work at 50% of their FTE hours.
Choose Close.
You are returned to the HR Request page.
Process the HR request.
