Create a payroll batch
After you have sent your compensation journal records to external payroll, you can create a payroll batch. The payroll batch process involves a gross to net calculation, which calculates deductions, such as taxes, and employee contributions.

If you must have more than one person create batches, Sparkrock recommends that you schedule the batches to run at separate times. Batches that run at the same time may interfere with each other and result in missed transactions. For more information about how to schedule batches, see Scheduled Batch.
To create a payroll batch
Choose , enter batch payroll processing list, and then choose the related link.
The Batch Payroll Processing List page opens.
On the action bar, choose New > New.
The Create Batch Payroll Processing page opens.
On the Options FastTab, perform the following steps:
- In Pay Cycle, specify a pay cycle for this batch.
- If your organization has pay cycle subtypes setup, in Pay Cycle SubType, specify an appropriate code.
- In Pay Cycle Period, specify a pay cycle period for this batch.
- In Batch Description, specify a description.
This description is displayed on the batch list, which can be helpful when multiple batches are run. - Verify that the value in Payment Date is correct.
The value is automatically populated based on the pay cycle period that was specified. - Verify that the value in Posting Date is correct.
The value is automatically populated based on the pay cycle period that was specified. - Verify that the value in Payroll Calc. Formula is correct.
The value is automatically populated based on the pay cycle period that was specified. The default value can be overwritten.
The formula determines which types of deductions are calculated.
In some organizations, benefit calculations are only performed on the first pay period of a month. - To schedule the batch payroll processing to run at a later date and time, turn on Schedule.
If Schedule is turned on, after you complete the Create Batch Payroll Processing page and then choose OK, the Schedule a Report page opens.
You must specify an Earliest Start Date/Time and an Expiration Date/Time, and then choose OK.
On the Filters FastTab, to filter the payroll employees that are to be included in the batch, specify filters.
The following list includes information about these filters:
- Position Code: Specify an appropriate code.
- Position Category: Specify an appropriate code.
- Position Department: Specify an appropriate code.
- Union Code: Specify an appropriate code.
- Company Code: Specify an appropriate code.
On the Hours Details page, if the company code is specified, the hours details records are also filtered by this company code.
On the Filter: Payroll Employee FastTab, as required, specify filters for payroll employees.
Choose OK.
A Working on it dialog box appears and displays the percentage of the processing that has been completed so far.
The Batch Payroll Processing page opens and the new batch is displayed.
If one or more employees in your organization are processing a payroll batch at the same time as you and are using the same pay cycle as you, data may overlap and be processed more than once. To avoid this situation, it is recommended that you specify filters.
