    Parklane System integration

    The Parklane System is an occupational health and safety software. This functionality applies only to Ontario. It generates information based on changes in employee information or position during a specified period of time.

    To ensure the collection of proper information and to generate a file that can be imported to the third party, you must perform some setup in Sparkrock 365.

    Setup steps summary

    You must ensure that the following components are setup:

    • Change Log Setup

    • Integration Setup

    • HR Department

    • HR Position

    • HR Employee

    Change log setup

    Changes to employee information and position are tracked through the change log.

    Tables

    The following tables need to be added to the Change Log:

    Table fields

    The report logic checks for changes in specific fields per table. If some fields are selected and a field value is not configured, the report logic does not consider this scenario to be a change. If all fields are selected, the report logic checks for changes in all of the fields that are specified in the tables below.

    Set up the HR Integration Setup page

    The Parklane report needs additional setup to identify causes of inactivity codes and payroll controls. This setup involves configuring information in the HR Integration Setup page.

    1. Choose Lightbulb that opens the Tell Me feature., enter hr integration setup, and then choose the related link.

      The HR Integration Setup page opens.

    2. On the ON - Parklane FastTab, perform the following steps:

      1. In Long Term Disability, specify the cause of inactivity code that is used to specify long term disability.
      2. In Maternity Leave, specify the cause of inactivity code that is used to specify maternity leave.
      3. To specify that you want TDI data to be exported for Federal and Provincial amounts, turn on Export TD1 Data.

    Set up the HR position

    The HR Position is set up as part of the normal Sparkrock 365 configuration. The following fields support the Parklane integration:

    • Default Start Time

    • Default End Time

    Create a report

    1. Choose Lightbulb that opens the Tell Me feature., enter parklane integration, and then choose the related link.

      The Parklane Integration page opens.

    2. On the Options FastTab, perform the following steps:

      1. In From Date, specify the start date.
      2. In To Date, specify the end date.
    3. If required, apply other filters.

    4. To create the Parklane file, choose OK.

    Data format and mapping

    This section shows the required data format for the integration and how Parklane data is mapped to the data within Sparkrock 365.

    • Mandatory: Sparkrock 365 does not create a record when one of these fields is missing.

    • High: Required for government legislative forms.

    • Medium: Required for effective statistical reporting.

    • Low: Has no effect on forms or reporting.

    Picks up the Department Code from the current active HR Position, The Department Code is one of the Dimensions selected for the employee assignments and can be found in the HR Position Ledger Entries table.
    If an employee has two active positions with the same rank, the report will use the first record found. The report first checks for positions where Ranking = 1. If no position has Ranking = 1, the report checks if a position has Ranking = 2, and so on.
    The active positions will be determined by the From and To dates defined before running the report.
    4 Yes 21 25 A Displays the Last Name; last name must be completed for a new employee. (Table 5200).
    The Last Name field is limited to 25 characters.

    If applicable, foreign telephone numbers may be entered into Field No.46.
    Spaces and dashes are not allowed as part of the numbers. The field should be able to display seven digit numbers, excluding the extension.

    Create payroll controls that will calculate the payroll for the employee. It is advisable to have separate payroll controls called Parklane Weekly Salary to calculate the exact amount for the report. These payroll controls should not post to G/L.
