    Create the ONE-T export file

    When you are satisfied with the ONE-T worksheet data, you can create the ONE-T export file.

    When the export file is created, Sparkrock 365 compares the data on the ONE-T Worksheet page to previous export files to determine whether the information has already been reported. You can view previous export files on the HRIS Export File Archives page. The export file logic tracks changes in the following areas:

    • Employee Information

    • Employment

    • Work Status

    • FTE

    • Salary

    If any of the following fields have a different value, a record is included in the ONE-T export file:

    • Employee Information:

      • First Name

      • Last Name

      • Plan

      • Actual FTE

      • Gender

      • Address 1

      • Address 2

      • City

      • Province

      • Country

      • Postal Code

      • Home Phone No.

      • Language

      • Email

    • Employment:

      • Client ID

      • Payroll ID

      • Employer Group ID

      • Class

      • Plan

    • Work Status:

      -Work Status

    • FTE:

      • Actual FTE

      • Benefit FTE

      • Leave FTE

    • Salary:

      • Leave Salary

      • Annual Salary

    If required, Sparkrock 365 performs data transformation on the fields that are coming from the ONE-T Worksheet page.

    ONE-T export file naming convention

    On the Provincial Benefits Data Exchange Setup page, on the ONE-T FastTab, the Production field determines the ONE-T export file name prefix. When Production is turned off, the ONE-T export file is created with the prefix of TEST. Otherwise, when Production is turned on, the ONE-T export file is created with the prefix of PROD.

    The name of the file is composed as follows:

    NatureofFile_EmployerGroupID_Date_CycleNumber.csv

    where:

    • Natureoffile is 4 characters with the value of TEST or PROD

    • EmployerGroupID is the Employer Group ID in the transaction record

    • Date is the date the file was generated. The date format is: yyyymmdd

    • CycleNumber is the Cycle Number in the header record

    For example:

    • TEST_985000001_20210714_001.csv

    • PROD_985000001_20210714_801.csv

    To create the ONE-T export file

    1. Choose Lightbulb that opens the Tell Me feature., enter one-t worksheet, and then choose the related link.

      The ONE-T Worksheet page opens.

    2. In Batch Name, specify the batch name for which you want to create a ONE-T export file.

    3. On the action bar, choose Create File.

      A dialog box appears and displays the following question:

      Are you sure that you want to export the file?

    4. Choose Yes.

      The export file is created.
